Job summary

Apex Group Ltd in Manila, Philippines, is seeking an Account Manager for Transfer Agency (Dealing) to lead client relationships and ensure accurate, timely transfer agency services. You will coordinate onboarding, subscriptions, redemptions, and reporting while maintaining regulatory compliance.

In this role you will work with global teams, manage client expectations, and support lifecycle events such as fund launches and mergers, ensuring high-quality client service and risk management.

Qualifications

• AML guidance knowledge for multiple jurisdictions (e.g., Cayman, Delaware, Australia, Ireland, Bermuda)
• Experience with screening tools such as World Check, Pythagoras, LexisNexis
• Proficiency in Microsoft Excel; strong presentation skills
• Knowledge of FATCA/CRS reporting; ability to review US tax forms (W-9, W-8BEN, W-8IMY) and withholding statements

Responsibilities

• Serve as primary contact for assigned clients (hedge funds, private equity funds) and maintain strong client relationships
• Ensure accurate, timely delivery of Transfer Agency services and client reporting
• Oversee investor onboarding, subscriptions, redemptions, transfers, and shareholder record maintenance
• Coordinate with internal teams to resolve processing, reconciliation, and reporting issues
• Support fund launches, mergers, liquidations and lifecycle events
• Ensure compliance with AML/KYC, FATCA/CRS, and local fund regulations
• Prepare and deliver operational, regulatory, and management reports
• Participate in client service reviews and governance meetings
• Identify opportunities for service improvements and cross-sell other Apex services

Account Manager – Transfer Agency (Dealing)

Location: Manila, Philippines

Role Summary

The Transfer Agency Department provides Fund Administration services to numerous Fund management companies covering the full range of shareholder service functions including Transaction processing, Reporting, AML and Registration and Payments. The department is responsible for Client and investor document management, processing and quality checking of transactions and updating the registers of clients in response to investor instructions.

An Account Manager is responsible for managing client relationships for assigned investment funds, ensuring the accurate and timely delivery of Transfer Agency services. This role acts as the primary point of contact for clients, coordinates operational activities, and ensures compliance with regulatory and service level requirements while driving client satisfaction and retention.

Key Responsibilities

• Serve as the primary contact for assigned clients like Hedge funds, Private Equity Funds etc.
• Build and maintain strong, long-term client relationships through regular communication and reviews.
• Understand client structures, products, and service expectations.
• Handle client inquiries, escalations, and issue resolutions in a timely and professional manner.
• Oversee daily transfer agency activities including investor onboarding, subscriptions, redemptions, transfers, and maintenance of shareholder records.
• Ensure service delivery aligns with agreed SLAs and KPIs.
• Coordinate with internal operational teams to resolve processing, reconciliation, and reporting issues.
• Support fund launches, mergers, liquidations, and other lifecycle events.
• Prepare and deliver client reporting (operational, regulatory, and management reports).
• Participate in client service reviews and governance meetings.
• Coordinate with CSM & RM to manage client change requests, enhancements, and onboarding of new funds
• Monitor operational risks and support audits, due diligence, and regulatory reviews.
• Ensure compliance with applicable regulations (e.g., AML/KYC, FATCA/CRS, local fund regulations).
• Coordinate internal stakeholders for system changes, process improvements, and regulatory updates.
• Support implementation of new regulations or operational models impacting clients.
• Support client retention and growth initiatives.
• Identify opportunities for service improvements and cross-selling additional services.
• Work extensively with various teams across global locations to fulfill an entity’s AML/KYC requirements as mandated by compliance and regulatory standards prior to Dealing instructions.
• Report/escalate any quality, production, and system-related issues.

Skills Required

• Individual/You should be well versed with any or all AML guidance for Cayman, Delaware, Australia, Ireland, Bermuda etc.
• Individual/You should have working knowledge of any or all of screening tools viz. World Check, Pythagoras, Lexus-Nexus etc.
• Individual/You should be well versed with Microsoft applications. Expertise in excel and presentation skills is an added advantage.
• Individual/You should have knowledge of FATCA/CRS reporting. He/She should be able to review US tax forms i.e., W9, W8-BEN, W8-IMY, Withholding statements etc.
• Individual/You should have good written and verbal communication skills.
• Individual/You should be able to keep records in good order and perform regular remediation activities as per the risk rating of investors.
• Individual/You should be able to work separately and collectively in a group as the situation demands.
• Individual/You should be able to create the required reports in time, without any reminders.
• Individual/You should have a positive attitude and team spirit is a must.
• Individual/You should be flexible enough to work in 24x7 environment.
