Job description
What You'll Do

As our Project Manager with an Operations Focus, you'll be the backbone of our projects and the champion of our operational efficiency. You'll handle everything from hands‑on project delivery to managing the processes and tools that enable success.

Your core responsibilities will include:

  • Project Management Operations: Take ownership of the daily and long‑term usage of our key PM tools. This involves managing usage compliance across the studio, providing internal support, and implementing new best practices to maximise efficiency.
  • Process Documentation: Work closely with the Head of Production to manage the documentation of all PM processes. This includes creation, revisions, organisation and ensuring studio‑wide compliance with standard operating procedures.
  • Project Planning & Preparation: Assist in the successful setup of high‑profile projects, ensuring alignment on scope, fee negotiations and appointment terms. You'll organise project kick‑off meetings and initiate the project approach (systems, tools and communication channels).
  • Project Infrastructure: Create and maintain digital platforms throughout project development and execution. You'll secure all documentation and keep current and future projects up‑to‑date with the latest data and assets.
  • Meetings, Scope & Backlog Management: Schedule and facilitate all project meetings (both internal and external meetings). You'll help Senior Leads implement best practices for maintaining the project backlog and task list, and proactively identify and raise potential scope creep for change requests.
  • Resource Scheduling: Ensure our project management and resource tools are accurately updated with correct teams, managing freelance availability and allocation. You'll ensure a robust link between PM data and Finance for accurate revenue and margin calculations.
  • Team Performance & Monitoring: Drive teamwork, resolve conflicts and remove obstacles. You'll produce status updates and burndowns, monitor progress on deliverables and prepare corrective action proposals. You'll also manage project closure, including archiving and securing final signed‑off deliverables.
Requirements
What You'll Bring

You are a highly‑motivated Project Manager who combines practical delivery skills with a keen interest in systems and process improvement. You have a keen eye for detail, a knack for problem‑solving and you're ready to take the next step in your career.

  • Proven experience as a Project Manager or in a similar role within a digital production or agency environment.
  • Demonstrated interest or experience in process management, operational improvement or systems administration (especially PM/resourcing tools).
  • Exceptional organisational and communication skills with both internal and external stakeholders.
  • A solid understanding of project management principles and proficiency with relevant tools (experience with tools such as Kantata, Wrike or Monday.com is a plus).
  • A proactive mindset with the ability to anticipate and resolve issues.
  • The ability to build strong relationships and support teams toward a common goal.
