Booking Administrator for the project in Narvik

We are a construction company specializing in data center fit-outs, committed to excellence in every project we deliver. As our operations expand and we take in more projects, we are looking for service-minded and organized individuals to support our on-site hotel administration in the camp near the construction site 20 minutes from Narvik city‑centre.

  • You will greet and welcome guests professionally, ensuring a positive first impression that enhances the overall guest experience and upholds our hotel's reputation.
  • You will efficiently handle guest check‑in and check‑out procedures, ensuring key preparations for arrivals to enhance guest satisfaction.
  • Manage reservations, modifications, cancellations, and maintain accurate booking records.
  • Respond promptly to guest inquiries, requests, and concerns, providing information about hotel facilities and services.
  • Coordinate with housekeeping, maintenance, and other departments to ensure guest needs are met promptly and effectively.
  • Handle phone calls, emails, and other communication channels, ensuring clear and courteous communication.
  • You will inform guests about the camp rules, ensuring they have a safe and enjoyable stay.
  • Maintain the reception area in a neat, welcoming condition and ensure all booking and guest data are accurately recorded (Information provided from the subcontractors).
  • Process daily reports for housekeeping and kitchen canteen staff.
  • Print our daily report of guest in house to security personnel and office manager on site.
  • Support administrative tasks, including preparing reports, managing guest records, and updating reservation systems.
  • Conduct daily and weekly inspections across all facilities, including waste management, storage, rooms, common areas, and gym facilities.
  • Implement standardized checklists for janitorial staff shifts to maintain consistent cleaning and maintenance standards.
  • You will control canteen access to ensure it remains exclusive to Hotel Camp residents, maintaining security and exclusivity.
  • Address operational issues promptly, assign tasks effectively to team members, and ensure smooth workflow.
Qualifications
  • Strong communication and organizational skills.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Good computer skills (MS Office; experience with booking systems is a plus).
  • Fluent in English and Norwegian—additional languages are a plus.
  • A driving licence.
  • A positive, service‑oriented attitude and a proactive approach to problem‑solving.
  • Previous experience in hotel reception, facility administration, or hospitality is an advantage.

We will provide you with all necessary work equipment, including a laptop and mobile phone, as well as a full onboarding program to ensure a smooth start in your new role.

You will be working on a rotation schedule, which will likely be either 3:1 or 2:2 (weeks on/off). We can provide accommodation in Narvik and a service car during your rotation schedule.

It is a project‑based contract for 11 months.

Work start: as soon as possible.
