In this all-round on-site Office Management function, you guarantee that the office operations run smoothly and in- and external customers are served at a hospitality level that exceeds their expectations. You support the leadership team with a variety of secretarial and administrative tasks including planning and execution of meetings & events, booking of international business travel, organizing and archiving (of contracts, Quality Management System docs), and creating memo’s, letters, presentations and reports. To be successful in this role, you are self-propelled, organized, resourceful and efficient with attention to details. Your style is open, inclusive, honest and collaborative. Being flexible and having a sense of humour while maintaining a high level of professionalism and confidentiality is crucial to this role. The ideal candidate will have the intuition to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently and be comfortable to make decisions for the office and facilities with minimal oversight or guidance. For this position we expect someone to work on-site in Geleen.
Provides general administrative support including preparing communications and maintaining schedules
Performs normal office functions such as setting up and maintaining files
Arranging meetings and conferences
Gathers, compiles and reports on information relevant to supervisor's assignment
Administers inter-department or inter-unit programs or processes
May be responsible for coordinating travel and submitting expenses.
MBO+ education level with several years of relevant work experience in an international environment
Strong customer focus and hospitality mindset combined with excellent communication skills, written and verbal in Dutch and English
Experienced in organizing international business trips, events and meetings
Confident, organized, flexible, extremely diligent and professional with high integrity standards
Strong software skills (Microsoft Office).
