Overview

MAPEI Malaysia Sdn Bhd is a member of the MAPEI Group of Companies which is head-quartered in Milan-Italy with 82 subsidiaries worldwide. We are a manufacturer and supplier of construction chemicals for building and construction applications and we are looking for a Warehouse & Logistics Administrator to be based in our Nilai Plant.

Responsibilities
  • Manage end-to-end import and export logistics, including customs clearance, shipment tracking, documentation, and compliance with trade regulations.
  • Coordinate with internal teams and freight forwarders to ensure timely, cost-effective delivery, negotiate shipping rates, handle claims, and maintain accurate logistics records.
  • Apply correct Incoterms based on shipment requirements and customer agreements.
  • Manage customs clearance procedures, including preparing and verifying K1 (Import) and K2 (Export) forms.
  • Track shipment movement end-to-end, follow up with freight forwarders, and resolve delays, routing issues, or delivery discrepancies.
  • Prepare, review, and maintain all shipping documents: commercial invoices, packing lists, permits, COO certificates, MSDS, and other regulatory documents.
  • Negotiate freight rates and compare quotations to ensure cost-effective shipping solutions.
  • Coordinate with internal departments (sales, warehouse, production) to ensure timely shipment readiness and accurate documentation.
  • Monitor import/export regulations and ensure shipments comply with local and international trade requirements.
  • Manage logistics records, shipment databases, and filing for audit or reporting purposes.
  • Handle claims for lost or damaged goods and coordinate with insurers or forwarders to resolve cases.
  • Plan and optimize shipment schedules to meet customer delivery timelines while minimizing cost.
  • Reports to the Warehouse & Logistics Manager
Qualifications
  • Diploma or Degree in Logistics, Supply Chain, Business Administration, or related field.
  • Minimum 2–4 years of experience in logistics in Manufacturing or distribution industry.
  • Experience with ERP systems (e.g., SAP, Microsoft Dynamics) and customs/trade platforms (e.g., DagangNet).
  • Strong organizational, communication, and multitasking skills.
  • Ability to work independently and manage multiple priorities under tight timelines.
  • Good analytical and statistical skills.
  • INCOTERMS, HS codes, and trade compliance.

  • Work Time: 8:00am – 6:30pm, 5 days a week
