Warehouse Executive (Halal & Import/Export Operations)
Working hours: 5.5 days. Monday–Friday: 08:30–18:00. Saturday: 08:30–12:00.
Role Overview
The Warehouse Executive is responsible for managing end-to-end warehouse operations covering frozen meat, poultry, chocolates, and FMCG products. This role ensures inventory accuracy, cold‑chain integrity, halal compliance, and smooth coordination with production centres and import/export stakeholders. Requires strong discipline, documentation accuracy, and compliance with JAKIM Halal standards and Malaysian regulatory bodies (MOH, MAQIS, Customs).
Key Responsibilities
- Inventory & Warehouse Operations
- Receive, inspect, and record inbound goods (frozen meat, poultry, mutton, groceries, production items).
- Ensure proper storage by category: frozen, chilled, ambient, raw materials, and packaging.
- Enforce FIFO and maintain cold‑chain integrity.
- Manage picking, packing, palletising, and dispatch for retail, HORECA, and export orders.
- Maintain warehouse hygiene and safety in line with GMP/HACCP practices.
- Ensure full compliance with JAKIM Halal requirements across warehouse and production flow.
- Enforce segregation and mitigate halal contamination risks.
- Verify halal status of raw materials, ingredients, and supplier halal certificates.
- Maintain halal traceability logs, sanitation records, CCP/OPRP checklists, and batch tracking.
- Support halal audits and follow up on audit findings.
- Ensure staff comply with halal SOPs and cleanliness standards.
- Import & Export Coordination
- Coordinate shipments with overseas and local suppliers.
- Prepare and manage import documentation (Invoice, Packing List, BL/AWB, COO, Health & Halal Certificates).
- Liaise with freight forwarders for clearance with MAQIS, Customs, and MOH.
- Prepare export documentation for regional and international markets.
- Track shipment status, resolve delays, and ensure accurate labelling and HS code declarations.
- Documentation & Reporting
- Maintain GRN, stock cards, and AutoCount stock movements.
- Conduct cycle counts, monthly stock audits, and variance investigations.
- Prepare daily warehouse and inventory movement reports.
- Support production planning based on demand and supply trends.
- Track production stock usage and non‑trade item inventory, costing, and availability.
- Compliance, Safety & Audit Readiness
- Ensure compliance with halal, food safety, and regulatory requirements.
- Enforce PPE usage and safe handling practices.
- Report equipment faults or safety hazards.
- Support internal audits (halal, quality, safety, inventory).
- Coordination & Team Support
- Liaise with Procurement, Sales, Finance, Production, and QA/QC teams.
- Coordinate dispatch with drivers and logistics partners.
- Assist in resolving customer issues related to quantity, damage, or documentation.
Requirements
- Diploma or Degree in Logistics, Supply Chain, Food Technology, or related field.
- Minimum 2–3 years of experience in warehouse operations (frozen food/meat handling preferred).
- Knowledge of halal operations and JAKIM standards is an advantage.
- Familiar with import/export processes and MAQIS, Customs documentation.
- Forklift license is an added advantage.
- Strong organisational skills, attention to detail, and effective communication.
- Proficient in inventory accuracy, halal compliance, traceability, documentation, planning, problem‑solving, teamwork, and safety discipline.
Working Conditions
Warehouse‑based role (frozen, chilled, and ambient environments). May require weekend work or extended hours during peak shipment periods.
