Job Overview

We are seeking a proactive and highly organized Technical Operations Assistant to support our Tech Manager in managing the daily operations of the Software Development and QA teams. This role bridges technical coordination and administrative assistance, helping to streamline communication, manage tasks across departments, and ensure timely project delivery. The ideal candidate is detail-oriented, tech-savvy, and able to coordinate effectively across multiple teams.

Key Responsibilities

Technical Coordination & Project Support

  • Assist in gathering, organizing, and translating project requirements from stakeholders (System Analysts, UI/UX Designers, Project Team) into clear technical tasks for developers and QA.
  • Create, update, and manage tasks on project management tools (e.g., Asana, Jira) based on technical and project requirements.
  • Follow up with relevant teams to ensure progress aligns with project timelines and highlight potential delays or bottlenecks.
  • Attend project meetings and prepare concise meeting notes or action item summaries.
  • Help coordinate UAT or internal testing schedules with QA and project teams.

Administrative & Operational Support

  • Manage calendar scheduling, task reminders, and meeting coordination for the Tech Manager.
  • Assist in submitting internal claims, reimbursement forms, and other administrative documentation.
  • Handle light documentation work, such as formatting technical documents or compiling release notes.
  • Help maintain shared knowledge bases, folders, and documentation repositories.

Qualifications

  • Diploma or Degree in Business Administration, Computer Science, Information Systems, or a related field.
  • 1–2 years of experience in a coordination, operations, or assistant role (technical environment is a plus).
  • Familiar with project management tools such as Asana, Trello, or Jira.
  • Strong communication and follow-up skills.
  • Able to understand technical discussions and relay them accurately.
  • Good multitasking and time management abilities.
  • Proficient in Google Workspace (Docs, Sheets, Slides) or Microsoft Office.
