Overview
KUFPEC (Malaysia), a subsidiary of Kuwait Foreign Petroleum Exploration Company, is seeking a meticulous and proactive Technical Assistant with strong document control capabilities to join our team in the Area Office on a Contract-Hire basis. This position focuses on managing technical documentation and ensuring compliance within a fast-paced, collaborative environment.
MAJOR DUTIES & RESPONSIBILITIES
- Manage and maintain technical documentation, ensuring accuracy, version control, and compliance with company standards and project requirements.
- Support the Operations Manager/Project Controls Manager and team with administrative and technical tasks.
- Prepare and consolidate daily, weekly, and monthly reports for internal meetings, performance monitoring and recovery programs.
- Ensure timely submission of reports and other required documentation to the relevant departments.
- Coordinate and archive project documentation and ensure version control presentations for top management and Head Office.
- Organize domestic and international travel arrangements for team members.
- Maintain proper filing and documentation of operational/project records, including engineering documents/drawings, MoM, letters/correspondence, HSE reports, logistics data, and incident notifications.
- Oversee AO’s SharePoint page, ensuring timely updates, document uploads, and access control.
- Liaise with vendors and internal departments, acting as the first point of contact for document-related queries.
- Assist in CSR activities, exhibitions, and internal events, ensuring proper documentation and reporting.
- Share operational HSE incident notifications with relevant departments and maintain related records.
- Provide cross-functional technical assistance and document management support to affiliated companies as needed.
- Apply 5S principles (Sort, Set, Shine, Standardize, Sustain) to manage documentation and records and promote workplace organization and efficiency.

MINIMUM QUALIFICATIONS
- Diploma in Secretarial, Administration, or Document Control Studies.
- Minimum 5 years of relevant experience, preferably in oil & gas or technical operations.
- Fluent with full professional proficiency in reading, writing, and typing in English.
- Familiarity with HSE standards, document control procedures, and office protocols.
