Working Hour : Monday to Friday (9.00am - 5.30pm)

Key Responsibilities
  • Acknowledge and process customer purchase orders in SAP according to specifications.
  • Verify pricing, material availability, and coordinate with sales for any discrepancies.
  • Issue proforma invoices, purchase orders, production orders, delivery orders, and invoices.
  • Follow up on payment and ensure readiness before delivery.
  • Ensure all order‑related documents are accurate and filed properly.
  • Conduct kick‑off meetings with customers and internal teams as the first point of communication to align on operation lead time, project milestones, and overall fulfilment schedule.
  • Coordinate project‑based orders with OEMs, suppliers (packaging), and production teams.
  • Monitor material shortages, follow up with procurement, and update customers accordingly.
  • Track production progress and align packaging readiness with OEM schedules.
  • Support urgent project requirements to ensure timely delivery.
Delivery & Logistics Management
  • Coordinate with warehouse, drivers, and third‑party transporters for local and outstation deliveries.
  • Ensure on‑time delivery and proper documentation (DO, COA, invoices).
  • Monitor delivery efficiency and resolve any logistics‑related issues.
  • Coordinate export shipments and required documentation.
  • Respond promptly to customer enquiries and feedback.
  • Coordinate with QC and suppliers for complaint resolution (CAR forms, replacements, CN/DN issuance).
  • Maintain strong relationships with customers through consistent follow‑up and professional communication.
  • Support sales team with necessary product documents (MSDS, HALAL certs, COA, flow charts, etc.).
  • Prepare and submit invoices to Accounts Department for payment processing.
  • Source quotations for packaging materials and other project‑related items.
  • Assist in supplier evaluations and documentation updates for procurement and audit purposes.
Planning & Reporting
  • Assist in forecasting, stock monitoring, and inventory alignment.
  • Collaborate with Planning and Procurement teams to ensure material availability.
  • Participate in weekly discussions with Procurement and Supply Chain teams.
  • Update reports and ERP systems for accurate supply chain performance tracking.
Others / Ad‑hoc Tasks
  • Carry out any other tasks or assignments as directed by the superior from time to time, provided they are relevant to the current job scope.
  • Support process improvement initiatives, system enhancement activities, or workflow optimization within the Supply Chain Department.
  • Participate in cross‑functional projects or meetings when required to ensure alignment with overall company objectives.
  • Perform additional duties assigned in line with the company’s operational needs, continuous improvement goals, or business development plans.
  • Provide documentation support for audits or special projects.
Key Requirements
  • Knowledge of customer service principles, Project management principles and practices.
  • Understanding of order processing, project coordination, inventorying management and delivery scheduling.
  • Familiar with SAP, AutoCount, and other ERP systems.
  • Basic knowledge of procurement and supplier coordination.
  • Awareness of inventory management and logistics processes.
  • Proficient in SAP system and Microsoft Office (Excel, Word, Power Point, Outlook).
  • Strong communication and negotiation skills with internal and external stakeholders.
  • Analytical and critical thinking skills for problem identification and resolution.
  • Excellent time management and multitasking abilities.
  • High attention to detail and accuracy in documentation and data entry.
  • Ability to communicate effectively with customers, suppliers, and internal teams.
