Job summary

A logistics and supply chain company in Malaysia seeks a Supply Chain Assistant to manage product movement and stock monitoring. The role includes coordinating with suppliers and ensuring compliance with shipping regulations. Ideal candidates are responsible for operations support, ISO compliance, and report generation, with focus on continuous improvement within the supply chain.

Responsibilities

• Execute supply chain assistant functions to ensure smooth movement of products.
• Review stock holding levels and propose stock replenishment.
• Monitor distribution and logistics channels closely with 3rd party providers.
• Liaise with suppliers and warehouse teams for shipment arrangements.
• Ensure accuracy of shipment information in the SAP System.
• Review duty payments and SST requisitions for compliance.
• Troubleshoot customer issues related to product supply.
• Document material return records for quality troubleshooting.
• Highlight and take action on slow-moving or obsolete stocks.
• Responsible for stock count cycles and related reporting.
• Provide support for operations and logistics matters.
• Ensure continuous ISO implementation within supply chain.
• Complete month-end closing activities within deadlines.
• Generate month-end reports including annual purchase and KPI reports.
• Implement and maintain best practices in supply chain activities.
• Assist management in ad-hoc projects or assignments.

Job description

Responsibilities

• Execute supply chain assistant functions to ensure smooth movement of products from suppliers to customers.
• Review stock holding levels and propose stock replenishment using standard matrix forms.
• Monitor distribution and logistics channels; coordinate closely with 3rd party service providers.
• Liaise with suppliers, warehouse teams, and local forwarding agents regarding shipment arrangements and documentation.
• Ensure accuracy of shipment information input into the SAP System based on suppliers Invoices, Credit Notes, and Debit Notes.
• Review duty payments and/or SST (Sales and Services Tax) requisitions to ensure full compliance with Customs regulations.
• Troubleshoot and resolve customer issues related to product supply.
• Document all material return records to assist in troubleshooting quality issues.
• Highlight and take action on slow-moving or obsolete stocks, coordinating with Sales and Marketing personnel for further action.
• Responsible for stock count cycles and related reporting.
• Provide support for all matters related to operations and logistics.
• Ensure continuous ISO implementation within the supply chain function.
• Complete month-end closing activities within the specified deadlines.
• Generate and prepare month-end reports, including but not limited to:
• Annual purchase report
• Shipment forecast file
• KPI reports
• Implement and maintain best practices and standards in supply chain activities.
• Assist management in ad-hoc projects or assignments as required.

Authority

• Direct liaison with 3rd-party overseas suppliers for trading of finished products.
• Issue Purchase Orders (POs).
• Follow up on all matters related to operations and logistics.

EMS and OHSMS Responsibilities

• Understand, implement, and uphold Environmental and Occupational Health & Safety (EHS) Policies and Management Systems.
• Communicate and report environmental and occupational health & safety matters to the Superior / MR / EHS Officer.
• Be aware of actions required in normal, abnormal, and emergency situations related to environmental, health, and safety issues.
• Attend, participate in, and support all activities related to environment, health, and safety (e.g., training, EHS programs, audits).
• Understand environmental and occupational health & safety risks of assigned work and take responsibility to control and mitigate them.
• Conserve natural resources through the efficient use of water, energy, and paper.
• Maintain good environmental, health, and safety standards (including housekeeping) in the work area and ensure compliance with applicable laws, regulations, and company requirements.
• Participate actively in the company's QMS, EMS, and OHSMS activities as required.
