Work you’ll do
  • Answers questions/inquiries as needed. Researches and follows up on inquiries that require more in-depth information.
  • Assists the Partners and his/her team with scheduling appointments, including travel arrangements, and maintains updates/changes calendar as needed.
  • Performs varied clerical tasks utilizing knowledge of office systems and procedures. These include, but are not limited to, typing letters/correspondences; preparing expense reports though SAP; and drafting presentations and other documents as needed by the Partner(s) and/or service line staff members.
  • Opens routes and/or answers routine correspondences.
  • Processes billing invoices and maintains accurate records as necessary.
  • Maintains office, provides day-to-day administration through phone, written and face-to-face contact with all those needed assistance from Partners’ office.
  • Maintains an efficient and organized filing system and monitoring documents including contracts lists, client contact database, engagement database, archived engagements, iTalent, proposals, learning schedules, staff information, staff attendance and leaves, and any other pertinent information to the Partner(s) and his/her team.
  • Liaises with executive assistant(s) and staff members from other teams in support of the Partner(s) and/or service line staff members.
Requirements
  • Strong commitment to confidentiality – Able to maintain the strictest confidentiality regarding communications with the Partner(s) and service line staff members.
  • Team Player – Ability to develop strong relationship and work with senior level executives and internal and external partners.
  • Communication – Excellent written, verbal, and non-verbal communication skills to work effectively with BU’s staff and Partners.
  • Interpersonal skills – including listening, facilitation, presentation.
  • Service Delivery – Practical knowledge of maximizing the use of new technology to develop and improve service to partners.
  • Problem Solving Skills – Facilitates identification of problem root cause, ensures non-recurrence of problems.
  • Knowledge/Experience/Education – Preferably a university degree holder from the following disciplines: Office Administration, Management/Commerce or related fields.
