Job summary

A leading engineering firm in Johor Bahru seeks an administrative assistant to support project site activities. The role involves managing foreign workers' attendance, preparing material requisitions, and resolving site logistic issues. Candidates should have at least 1 year of experience or be recent graduates, with proficiency in Mandarin for effective communication. Responsibilities

  • Assist in all administrative activities of the project site.
  • Handle Foreign Workers’ Time Attendance and Leaves.
  • Prepare monthly attendance for staff & workers to HQ.
  • Monitor work progress to ensure timely project completion.
  • Resolve client complaints and site logistic issues.

Responsibilities
  • To assist all administrative activities of the project site.
  • Handle Foreign Workers’ Time Attendance and Leaves related matters.
  • Preparing Material Requisition when required.
  • To prepare staffs & workers monthly attendance to HQ.
  • Mapping invoices with PO & DO before forwarding to HQ A/C Dept for payment process.
  • Maintain up-to-date purchasing records and files for quick retrieval.
  • Monitoring worker attendance and educating site workers on daily site operations.
  • To handle and resolve client’s complaints and site logistic issues.
  • To assist, instruct and advise contractors on site, quality control, and the interpretation of contract documents.
  • Monitor work progress to ensure project is completed timely.
  • To regularly report to relevant superiors on the progress works and issues encountered.
  • To keep all relevant forms, documents, correspondences and records in respect of the progress works.
  • Any other duties as assigned by the Project Manager and/or the Management.
Requirements
  • At least 1 years of working experience as administrator or site clerk. Fresh graduated are encouraged to apply.
  • Required language(s): We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
  • Possess good organization & time management skills. Good attitude toward team work.
  • Mature with excellent interpersonal and communication skills.
  • Good administration skill. Has good discipline and punctuality.
  • Able to work independently, adapt to project site environment.
