Job summary

A leading vegetable oil manufacturer in Kuala Lumpur is seeking a Sales Administration Specialist. You will oversee daily operations, process sales orders, and ensure systematic record-keeping in a fast-paced environment. Ideal candidates have 3-5 years of experience, particularly within manufacturing industries. Proficiency in Microsoft Office applications and knowledge of incoterms are necessary. Fluency in English and Malay is required, and Mandarin is advantageous.

Qualifications

  • Minimum 3-5 years of experience in sales support, particularly in manufacturing.
  • Experience in palm oil, oleochemical, petrochemical, or pharmaceutical industries is a plus.
  • Knowledge of incoterms and UCP rules is mandatory.

Job description
Job Location: Bangsar South, KL (Near LRT Kerinchi Station)

You are about to join an excited journey with a leading vegetable oil manufacturer. You will be specialized in converting natural fats and oils into a wide range of functional oils and fats for the food industry.

Areas of Responsibilities:
  • Responsible for the monitoring of daily operation of sales administration and operational functions.
  • Process sales order with using ATS/SAP system.
  • Data entry, tracking and record-keeping in a sales-related environment
  • Maintain a systematic filing system and safe keeping of shipment documents.
  • Provide support on delivery schedules and monthly reports.
  • Assist in following-up on sales-related issues and complaints
  • Work closely with business managers to ensure all customer requirements are well-coordinated.
  • Monitor and keep track on goods delivery as per schedule.
  • Arrange Letter of Credit opening in due time & check Letter of Credit received in order.
  • Prepare and collate documents for presentation under sales Letter Credit making sure all documents to be presented under Letter Credit are clean.
  • Other ad hoc duties as assigned by reporting managers.
Job Requirements:
  • Degree / Diploma with a minimum of 3 – 5 years related working experience, preferably in manufacturing industries. Experience in sales support role within the palm oil, oleochemical, petrochemical, or pharmaceutical industries is an advantage.
  • Preferably with experience in sales administration, customers liaison, export and shipping documentation, intercoms and preparation of reports.
  • Assist buyer with product/service information & order processing related questions.
  • Knowledge of incoterms, UCP rules are mandatory
  • Good team player and able to work under minimal supervision with a sense of urgency
  • Proficiency in computer literacy and well-versed in Microsoft Office applications e.g. Excel, Words, PowerPoint.
  • Good track record of responsibility, resourceful and able to work independently.
  • Ability to work in a fast paced environment and handle huge volume of shipments.
  • Ability to adapt to changing priorities and handle challenging situations with empathy & professionalism.
Preferred Language:
  • Good communication & interpersonal skills, both verbal & written in English and Malay.
  • Fluent in both verbal and written Mandarin will be an added advantage.
  • Self-motivated with positive work attitude.
