Reports To: Purchasing Assistant Manager / Manager
Location: Balakong, Selangor – Malaysia

Job Summary

We are looking for a detail-oriented and proactive Purchasing Assistant / Executive to manage procurement operations, liaise with suppliers, and ensure timely availability of materials. The ideal candidate should have strong analytical skills, SAP proficiency, and fluency in Mandarin for liaising with China-based suppliers.

Key Responsibilities
  • Source and negotiate with suppliers to obtain optimal pricing, terms, and conditions.
  • Manage the purchasing process from purchase orders to delivery, ensuring timely availability of materials.
  • Collaborate with cross-functional teams to understand and fulfill procurement requirements.
  • Identify opportunities for cost savings and process improvements.
  • Maintain and update the purchasing database and supplier records.
  • Review and evaluate supplier performance quarterly.
  • Ensure compliance with company policies and procedures.
  • Support ISO implementation for ongoing work and purchasing functions.
  • Prepare and submit applications to relevant authorities:
    • SIRIM (product certification, testing reports, labeling requirements)
    • Suruhanjaya Tenaga (ST) – Certificate of Approval (COA) for electrical products
    • Malaysian Communications and Multimedia Commission (MCMC) – device certifications
  • Additional responsibilities as required by management.
Authority
  • Issue Purchase Orders and manage Material Master.
  • Oversee shipment arrangements from issuance of Purchase Orders to warehouse/site delivery.
  • Follow up on miscellaneous Delivery Orders.
Requirements
  • Diploma or Bachelor’s Degree in Purchasing, Supply Chain, or a related field.

  • Proficient in SAP system (mandatory).
  • Mandarin proficiency (written and spoken) is essential.
  • Strong analytical, communication, and attention-to-detail skills.

  • Proficient in Microsoft Excel and PowerPoint.
