A leading HR consultancy in Malaysia is looking for a Human Resources Executive to assist with recruitment, maintain employee records, and ensure compliance with local labor laws. The ideal candidate should have a Diploma or Degree in HR, 5 years of relevant experience, and proficiency in Excel and HR systems. This role involves supporting various HR functions including payroll, training coordination, and performance management. Applicants should be knowledgeable about the Malaysia Employment Act and statutory requirements.

Assist in recruitment process (job postings, resume screening, interview coordination)
Prepare offer letters, appointment letters, contracts, and HR documentation
Maintain updated employee master records (physical & digital)
(b) Staff Administration & Records
Maintain attendance, leave, MC, overtime, and shift records
Update HR systems / Excel trackers accurately and timely
Handle employee confirmations, transfers, and resignations documentation
(c) Payroll & Statutory Support
Assist in payroll preparation (OT, allowances, claims, deductions)
Support EPF, SOCSO, EIS, PCB documentation and submissions
Track staff claims, reimbursements, and benefits records
Liaise with accounts / payroll service provider
(d) Training & Development
Coordinate internal and external training (safety, technical, product, compliance)
Maintain training records for technicians, installers, and sales staff
Support competency and certification tracking (where required)
Assist in organizing toolbox talks, safety briefings, and inductions
(e) HR Compliance & Industrial Relations
Support compliance with Malaysia Employment Act 1955
Assist in handling disciplinary records, warning letters, and investigations (documentation only)
Maintain confidentiality of employee and management matters
Assist during audits, inspections, and labour-related inquiries
(f) Health, Safety & Welfare Support
Coordinate staff medical benefits, insurance, and SOCSO matters
Support HIRARC, safety inductions, PPE issuance records
Assist in accident/incident reporting and documentation
Promote staff welfare initiatives and engagement activities
(g) Performance Management Support
Assist in KPI tracking, appraisal documentation, and confirmations
Maintain records of performance reviews and training gaps
Support probation reviews and confirmation processes
(h) HR Reporting & Management Support
Prepare HR reports (headcount, turnover, attendance, leave)
Assist HR Manager / Admin Manager with HR projects and SOPs
Coordinate HR meetings and take minutes when required
Requirements:
Diploma / Degree in HR, Business Administration, or related field
5 years HR/Admin experience (SME environment preferred)
Knowledge of Malaysia labour law & statutory requirements
Proficient in Excel, HR systems, and document management
