Job Summary

Responsible for managing and execution receiving, picking and transport task. Understands all department functions, requirements and the interaction to an efficient and smooth operation in consistent manner.

Responsibilities
  • Execute all distribution activities, ensuring goods are received, processed, and documented according to company procedures.
  • Provide accurate and timely reports on all performance-related issues, such as goods received, discrepancies, and efficiency metrics.
  • Ensure all receiving staffs are present, track attendance, and compile daily work statistics for management review.
  • Ensure that the warehouse is kept clean, tidy, and organized. Maintain the integrity of stock and the accuracy of pick locations.
  • Prevent contamination or damage to goods and improve efficiency in locating products.
  • Adhere to HSE standards and report incidents or accidents in a timely manner.
  • Ensure a safe working environment and prevent injuries or accidents.
  • Ensure all MHE, such as forklifts and pallet jacks, are properly maintained and used in accordance with company policies.
  • Minimize downtime due to equipment failure and promote safe equipment operation.
  • Ensure that goods are processed and made ready for sale within three working days (3WD).
  • Maintain a put-away accuracy rate of 98.5% by ensuring goods are stored in their correct locations.
  • Report any losses or damages to products or warehouse assets immediately.
  • Participate in company stock counts and cycle counts, including aiding in the preparation of these activities.
  • Organize daily workloads to optimize the use of staff, equipment, and other resources.
  • Assist the Function Head in completing and following up on logistics requirements as needed.
  • Provide weekly or as-required reports to Function Heads on activities, progress, and future requirements.
  • Ensure that all staff have assignments for the day and the undertaking of these assignments are completed correctly and on a timely basis.
  • Complete all the picking functions and ensure that the products are consolidated at dispatch in a manner that will enable accurate loadings.
  • To ensure picking and order accuracy to ensure successful order fulfillment.
  • Ensure that all Materials Handling Equipment is maintained and used in a company accepted manner.
  • Ensure all stock out situations are captured and recorded. This must be in conjunction with relevant documents to support invoices.
  • To check daily the “Outstanding DO” report and take appropriate action as needed.
  • Report any losses or damage within the warehouse on products or assets.
  • To part‑take in company stock counts and cycle count processes, and support in the preparation of implemented activities.
  • Organize daily tasks to optimize resources.
  • Follow up all daily requirements as executed by Management, with documented actions and work towards the daily completion of all orders.
  • Monthly (Closing Orders), Darlie (H&H) & Mars (Petfood) sales closing orders to be invoiced within provided timeline by customer.
  • Responsible for ensuring smooth flow operations including stock checking by verifying and loading process.
  • Responsible to meet all local, IKA DC’s delivery on timely as agreed window.
  • Communicate and coordinate with respective locals, IKA DC’s engaged transporter to provide sufficient truck on timely.
  • Respond to transporter emails.
  • Responsible to follow up and resolve any local IKA DC’s delivery and outstation issues with sales or transporter.
  • Conduct roll call all coordinators and discuss any raised issues.
  • Responsible for ensuring timely arrival and departure of all local and outstation trucks.
  • Take an active role in facility management, including participating in committees such as OHS and ensuring compliance with standards.
  • Work with the management team to plan for future requirements and ensure successful implementation of those plans, including tracking progress and measuring outcomes.
  • Ensure that the receiving of hazardous materials is handled according to warehouse procedures and Material Safety Data Sheets (MSDS) for chemicals.
  • Ensure safety when handling chemicals or other hazardous materials to prevent accidents or contamination.
Requirements
  • At least 2 years working experience in similar capacity
  • Bachelor Degree or its equivalent
  • Proficiency in using computers and various software systems for information access, report generation, and warehouse management.
  • Familiarity with Warehouse Management Systems (WMS), Enterprise Resource Planning (ERP) software, and other relevant digital tools.
  • MS Word: For preparing reports and documentation.
  • MS Excel: For data analysis, tracking inventory, and using formulas to generate reports.
  • MS PowerPoint: For creating presentations and reporting key performance indicators (KPIs) to management.
  • Ability to analyze data, create charts, and provide insights using these tools.
  • Comprehensive understanding of warehouse operations, from goods receipt to put-away, stock management, to distribution.
  • Must be hands‑on, able to engage directly in warehouse operations and exhibit strong troubleshooting skills in real‑time.
  • Effective communication with internal and external customers, ensuring accurate and timely information is provided.
  • Strong written and verbal communication skills, essential for reporting, team coordination, and liaising with various departments.
  • Decisiveness in high‑pressure situations, with a focus on accurate and solutions‑oriented decision‑making.
  • Ability to review operational processes regularly and propose improvements to increase efficiency, reduce costs, and enhance overall performance.
  • Ability to cope with the demands of a fast‑paced warehouse environment, handling pressure and maintaining productivity.
