Job summary

A leading infrastructure and services group in Kuala Lumpur is looking for a skilled Contract Administrator to maintain contracts and conduct cost analysis to ensure compliance with regulations. You will assist with tender documents, support project financial management, and collaborate with internal teams and stakeholders to streamline operations. Ideal candidates should hold a degree in Quantity Surveying or related fields with 4-6 years of experience in similar roles. Strong analytical skills and proficiency in relevant tools are essential.

Qualifications

  • 4-6 years of experience in Cost Control, Contract Administration, or Quantity Surveying.
  • Professional certification in quantity surveying or contract administration is an added advantage.
  • Basic understanding of cost estimation, budgeting, and procurement processes.

Job description
Contract Administration

Maintain and update records of all contract statuses, including Approved Contract Value (ACV), for all projects and services, ensuring full compliance with contractual obligations.

Monitor and maintain all guarantees, sureties, bonds, insurances, warranties, and other contractual commitments as per contract requirements. Support the enforcement of contract terms and conditions throughout the project lifecycle.

Ensure timely completion of contract closure activities.

Cost Analysis & Reporting

Conduct cost analysis for completed projects and update cost databases for future planning.

Assist in the preparation of financial reports, cost assessments, and expenditure analysis.

Contribute to cost forecasting and financial planning improvements.

Assist in the preparation of tender documents, Requests for Proposals (RFPs), and Requests for Quotations (RFQs).

Compile data for tender evaluations, ensuring proper documentation of pricing and justifications.

Support procurement activities in compliance with company policies and industry best practices.

Assist in identifying commercial risks, contractual claims, and potential disputes related to project costs.

Support in drafting contractual correspondence and maintaining claims and dispute registers.

Provide assistance in resolving contract-related issues and disputes.

Support the processing of vendor payment applications by verifying documentation and preparing payment certificates.

Track payment statuses and ensure timely processing in compliance with contract terms.

Coordinate with finance and procurement teams to resolve any payment-related issues.

Stakeholder Coordination & Compliance

Work closely with internal teams, consultants, contractors, and regulatory bodies to ensure smooth contract execution.

Assist in ensuring compliance with financial regulations, procurement policies, and contractual guidelines.

Facilitate communication between key stakeholders to streamline project cost management.

Continuous Improvement & Process Enhancement

Participate in cost management initiatives and process improvement efforts.

Contribute ideas for refining cost tracking methodologies and contract management workflows.

Assist in the development of best practices for cost control and financial efficiency.

Minimum Essential Qualifications & Technical Competences

Bachelor’s degree in Quantity Surveying, Construction Management, Civil Engineering, or a related field.

Professional certification in quantity surveying, cost management, or contract administration from a recognized local or international body is an added advantage.

4-6 years of experience in Cost Control, Contract Administration, or Quantity Surveying or related roles in the construction or property development industry.

Basic understanding of cost estimation, budgeting, contract administration, and procurement processes.

Strong analytical and problem-solving skills with attention to detail in financial tracking and cost control.

Proficiency in Microsoft Excel, cost analysis tools, contract management systems, and financial reporting tools.

Good communication, interpersonal, and negotiation skills to collaborate effectively with internal and external stakeholders.

Ability to manage multiple tasks, meet deadlines, and adapt to fast-paced project environments.
