A leading company in the Oil & Gas sector seeks a qualified professional for corporate secretarial functions requiring MAICSA/ICSA qualification. Responsibilities include managing secretarial matters, drafting minutes, and ensuring compliance with regulations. The ideal candidate has at least 3 years of experience and is proficient in statutory filing platforms. To assist in managing company secretarial matters (Board, Board Committees, Management Committee, or other committees), including but not limited to drafting minutes of meetings, preparing and distributing papers for meetings, etc.
To assist in the preparation of Circular Resolutions, Statutory Forms, and other corporate secretarial documents, ensuring compliance with Bursa Securities Listing Requirements and other relevant statutory regulations and guidelines.
To assist in the administrative work of the Corporate Secretarial Department, which includes tasks such as maintaining a depository for company secretarial documents, preparing extracts of minutes, and filing statutory documents with the Companies Commission of Malaysia.
To prepare documents and forms for certification by the Company Secretary, as well as for the opening of bank accounts and changes to authorised signatories (including updating these accounts).
To provide support for special projects, including coordinating meeting materials and ensuring the safe custody of all documents.
To assist in statutory lodgments and submissions to SSM, Labuan FSA, ACRA Singapore, and other regulatory authorities as required.
Ensure timely and accurate lodgment of statutory forms/returns with SSM, Labuan FSA, ACRA Singapore, and other authorities.
To support interdepartmental requests on corporate secretarial matters and ad-hoc assignments.
MAICSA/ICSA qualification with 3 years working experience in company secretarial functions.
Proficient in using statutory filing platforms such as MBRS, e-BOS, MyCOID, and other applications by SSM, Labuan FSA, ACRA and relevant authorities.
Strong drafting ability for minutes, resolutions, statutory documents and corporate records.
High attention to detail, strong organisational skills, and ability to handle confidential information professionally.
Able to multitask, work independently, and meet tight deadlines in a fast-paced environment.
