JOB PURPOSE
This role is responsible for oversees end- to-end sales administrative functions to support the Sales & Marketing Department. The role ensures all sales documentation and processes are completed accurately, efficiently, and in compliance with regulatory requirements. The incumbent also supervises the sales administration team and coordinates with internal and external stakeholders to ensure smooth sales operations.
Key Responsibilities
- Oversee and manage the daily operations of the Sales Administration team to ensure timely and accurate processing of bookings, sales documentation, and customer transactions.
- Review and validate all sales-related documents, including booking forms, SPA documents, loan documentation, and related correspondence.
- Coordinate with solicitors, bankers, and purchasers to ensure smooth processing of SPA signing, loan approvals, billing, and collection processes.
- Monitor and ensure accuracy of sales data, unit availability, price lists, and sales charts, including timely updates in the system.
- Ensure compliance with company policies, SOPs, housing development regulations, and statutory submissions.
- Prepare and review sales reports, booking status, loan progress updates, and other sales administrative data for management reporting.
- Coordinate the issuance of progress billings and follow up with purchasers and banks to expedite payments and reduce outstanding balances.
- Work closely with the sales team to provide administrative support during launches, campaigns, and events.
- Liaise with internal departments (Finance, Legal, Credit Control, Project) to ensure proper flow of information and timely resolution of issues.
- Handle customer enquiries related to documentation, SPA, loan matters, and billing in a professional and service-oriented manner.
- Support HOD/Manager in audit-related matters, data verification, and process improvements.
- Maintain proper filing, documentation, and record-keeping to ensure traceability and audit readiness. Identify opportunities to streamline processes and enhance the efficiency of sales administration workflows.
- Guide, train, and supervise junior team members to ensure high service and documentation accuracy standards.
- Perform any other duties assigned by the superior from time to time.
Qualifications
- Diploma or Degree in Business Administration, Marketing, Real Estate, Finance, or equivalent.
- At least 3–5 years of experience in sales administration, preferably in property development or real estate.
- Experience managing or supervising a team is an added advantage.
- Strong understanding of property sales processes, SPA documentation, loan procedures, and regulatory requirements under HDA (Housing Development Act).
- Good communication and interpersonal skills, with the ability to interact effectively with internal teams, purchasers, bankers, and solicitors.
- Proficient in MS Office applications and sales administration systems (e.g., IFCA/CRM).
- Strong organisational and time management skills with high attention to detail and accuracy.
- Analytical, systematic, and able to prepare clear reports for management.
- Customer-focused with strong problem-solving abilities.
