Senior Conference Producer
The Senior Conference Producer is responsible for leading the planning, coordination, and execution of HRD Corp (HRDF)-claimable training programs, conferences, and public workshops. This role oversees end-to-end program production, ensures full compliance with HRD Corp guidelines, manages multiple stakeholders, and delivers high-quality learning and event experiences. The position also supports business development initiatives and provides leadership to junior team members.
Key Responsibilities
- Plan, produce, and deliver HRD Corp (HRDF)-claimable conferences, training programs, and public workshops from concept to completion.
- Manage all aspects of end-to-end program logistics, including venue sourcing and on-site setup, speaker, trainer and facilitator coordination, event registration and delegate communications, as well as catering, AV, materials, and other operational requirements.
- Ensure all programs meet HRD Corp / HRDF compliance, eligibility, and documentation standards.
- Prepare, compile, and submit post-event reports, including attendance records, participant feedback, and HRDF claims documentation.
- Act as the primary liaison with internal teams, trainers, speakers, clients, and external vendors.
- Source, negotiate, and manage suppliers to achieve cost efficiency and service quality.
- Develop, manage, and monitor program budgets, track expenses, and ensure cost optimization.
- Identify risks, troubleshoot issues, and implement solutions to ensure seamless program delivery.
- Collaborate with marketing teams to develop and execute promotional strategies that drive registrations and maximize attendance.
- Support the creation of event marketing materials, schedules, and communication plans.
- Assist in proposal development, program design, and client communications to support sales and partnership opportunities.
- Lead, mentor, and guide junior producers and coordinators in conference and training execution.
- Promote best practices, process improvements, and operational excellence within the team.
Qualifications
- Minimum 5 years of experience in conference production, event management, or training program coordination.
- Strong working knowledge of HRD Corp / HRDF claimable programs, processes, and compliance requirements.
- Proven ability to manage multiple conferences or training programs concurrently under tight timelines.
- Excellent project management, organizational, and problem‑solving skills.
- Strong communication, negotiation, and stakeholder management capabilities.
- High attention to detail with a proactive and results‑oriented mindset.
- Proficient in Microsoft Office, Google Workspace, and event or registration management platforms.
- Team‑oriented leader with the ability to mentor and motivate junior staff.
