Senior Admin Executive - Office/Facility Management (ID: 687703)

Handle general administrative support to ensure high quality Admin Service, good and secure working environment, cost/quality effective procurement. Provide support on employees assigned from China on apartment searching, logistics, living issues, etc. Monitor the office expansion in Kuala Lumpur to ensure growth needs. Facilitate communication with government bodies as required to ensure smooth business environment in Malaysia.

Job Scope

1. Admin Service and Facility Management

Provide administrative services and support for efficient operations in Malaysia, including welcoming visitors, responding to employee requests for admin services, managing cleaners to maintain a good environment, overseeing physical security to ensure ISO27001 compliance, and coordinating with the landlord and property managers to ensure smooth operations. Make Office Supplies budget and perform cost/quality effective procurement for the office.

2. Support on Chinese Employees

Provide comprehensive support for Chinese employees relocating from China to Malaysia including local EP visa applications, apartment searches, hotel bookings, and logistical assistance as needed. Address any living issues to ensure they enjoy their stay in Malaysia.

3. Support on Government Relations

Support government relations efforts in Malaysia by responding to requests from government bureaus, submitting necessary materials, and researching policies to access incentives. Interact with government officials to foster positive corporate citizenship.

4. Office Expansion

Assist with the office expansion strategy in Malaysia by researching suitable locations, identifying vendors, overseeing the office setup process, and supporting the service teams during their move-in.

Requirements

  • Minimum 3–5 years of work experience in facility management or administration; experience in government affairs is preferred.
