Overview
We are seeking an organized, proactive, and highly dependable Secretary / Personal Assistant (PA) to provide comprehensive administrative and operational support to the management team. The ideal candidate possesses strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment — with a strong interest in the event management and creative industry.
Key Responsibilities
- Administrative & Executive Support
- Manage daily schedules, appointments, and travel arrangements for management.
- Prepare correspondence, reports, meeting agendas, and presentation materials.
- Handle incoming calls, emails, and other communications efficiently and professionally.
- Maintain an organized filing and documentation system (digital and physical).
- Proposal & Presentation Support
- Assist in preparing and formatting proposals and presentations using PowerPoint.
- Work closely with the creative and project teams to compile event decks, visuals, and documentation.
- Ensure all materials are accurate, visually appealing, and aligned with company standards.
- Meeting & Coordination
- Organize and coordinate internal and external meetings, including preparing minutes and follow-ups.
- Liaise with internal teams, clients, and vendors on behalf of management.
- Support project coordination and assist in tracking progress for ongoing events.
- Operational Support
- Assist in document preparation, proposals, and administrative logistics for events.
- Handle confidential information with discretion and professionalism.
- Monitor deadlines, reminders, and task progress to ensure timely delivery.
- Office Management
- Support smooth day-to-day office operations and ensure a professional working environment.
- Coordinate internal communication, task updates, and document flow between departments.
- Assist in organizing company activities, team meetings, and internal events.
- Ensure proper record-keeping of company assets, documents, and administrative archives.
Requirements
- Minimum 3–4 years of experience as a Secretary, Personal Assistant, or Executive Assistant.
- Strong proficiency in Microsoft PowerPoint and capable of producing professional proposals and presentations.
- Strong written and verbal communication skills in English (and Bahasa Malaysia preferred).
- Excellent organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- High level of integrity, professionalism, and confidentiality.
- Strong interest and passion for the event and creative industry.
- Strong interpersonal skills with a positive and proactive attitude.
