A hospitality company in Miri, Malaysia is seeking a Sales Coordinator to support the Sales & Marketing team. The ideal candidate will handle administrative tasks, manage client communication, and assist in event coordination. Additionally, the role requires preparing proposals and ensuring effective follow-through on client inquiries. The Sales Coordinator supports the Sales & Marketing team in daily operations. This role handles administrative tasks, event coordination support, client communication, and ensures smooth follow-through from inquiry to execution. The Sales Coordinator acts as the “backbone” of the sales office, helping the team stay organized, responsive, and efficient.
Prepare quotations, proposals, contracts, and event orders (EO) accurately and on time.
Update all bookings, inquiries, follow-ups, and client details in the system.
Maintain proper filing for sales documents, agreements, and correspondence.
Assist with generating sales reports and weekly updates.
Handle incoming calls, emails, and WhatsApp inquiries professionally.
Follow up with clients on confirmations, deposits, agreements, and event details.
Provide basic product knowledge on rooms, banquet events, golf packages, and F&B promotions.
Work closely with banquet, kitchen, golf ops, and front office teams to ensure all event details are communicated clearly.
Prepare and distribute Event Orders to relevant departments.
Assist the Sales Manager with site inspections, client walkthroughs, and event briefings when needed.
Assist in preparing simple marketing materials (posters, captions, product information).
Update room packages, event promotions, festival packages, and other sales tools.
Attend sales meetings, take minutes, and follow up on action items.
Keep track of outstanding payments and deposits.
Maintain inventory of sales tools such as brochures, flyers, and promotional kits.
Ensure timely and pleasant communication with clients before, during, and after events.
Support the sales team in resolving basic issues or forwarding them to the right person-in-charge.
