Job description
Resident Relationship Executive

Resident Relationship Executive oversees the Senior and Enrolment officer of the respective dormitories on daily report and audit report. In-charge of consolidating the status of the occupancy of each dormitory. Oversees and assists Resident Relationship officer/Senior Enrolment officer for Social Calendar activity. Update report and photo for Social Calendar activity in common folder for Communication team.

Responsibilities
  • Consolidating of overall occupancy status report for the dormitory group.
  • Ensuring that the enrolment officer of the respective dormitory is maintaining the in/out flow of residents’ info.
  • Monitor all report manage by Senior and enrolment officer for daily, weekly, monthly and half-yearly documentation are properly updated and upload in common drive.
  • Ensure all reports related to auditing are updated in shared folder by enrolment.
  • Assist and back up Senior or Enrolment office job those on leave if back up partner are not available.
  • Coordinate with on site Enrolment team and Sales team to obtain supporting document related to Work Permit of residents.
  • Update system issue and manage ad hoc system problem. Plan for system improvement.
  • Plan schedule for Physical Occupancy Index (POI).
  • Manage monthly meetings with enrolment team and resident relationship officer.
  • Ensure all hostel cards are properly recorded and updated for new check in or replacement.
  • Monthly checking inventory record card, sticker and ribbon.
  • Make ordering and open requisition form base on requirement enrolment and social activity item for all dorms.
  • Discuss the monthly activity to confirm the date and month for each event.
  • Prepare Social Calendar for dorm event and email to each dorm.
  • Prepare the QR Scan survey report by quarterly and advise Resident Advisor / Dorm Manager to achieve the target.
  • Conduct a meeting with Resident Advisor at least 2 days before event & banner/notice shall be hang out by Resident Advisor at least 2 weeks before event.
  • Email request transportation for external event.
  • Inform all Resident Advisor for internal and external event to fill in Risk Assessment 2 week before event and residents to submit indemnity form & attendance form before starting the event.
  • Ensure all Resident Advisor submit the Risk Assessment and indemnity form to Resident Relationship Executive / Resident Relationship Officer.
  • Ensure all events for the Social Calendar in the year are on the schedule and update the report in folder for Communication team.
  • Assist Resident Relationship Manager for internal auditing of enrolment documents.
  • Assist AGAM to compile and update Operation minute and schedule meeting. And any other tasks as assigned by the superiors.
Qualifications
  • SPM / STPM / Diploma
  • Knowledge of Microsoft Office applications
  • Able to write and converse in Malay and English
  • Good communication and interpersonal skills
  • Able to work independently and lead a team
  • Possesses own transport
  • Experience: 2-3 years of supervisory experience
