A manufacturing company in Malaysia seeks a Procurement Officer who will prepare purchase orders, maintain vendor data, and handle documentation for shipping. Ideal candidates should hold a Diploma or Degree in Accounting or Finance, have proficiency in Microsoft Excel, and be proactive in adapting to new processes. This role is open to fresh graduates and offers valuable experience in the procurement process within a dynamic environment.
Prepare and process purchase orders for various categories including spare parts, repairs, consumables, recycled resin, housekeeping supplies, uniforms, and medicines.
Create and maintain vendor master data in the Dynamic system, ensuring proper approval from the Finance department for all new vendor creations.
Establish and update material codes in the Dynamic system for all inventory items to maintain accurate records.
Process advance payment requests by preparing and submitting all required supporting documents through the Dynamic system.
Generate weekly and monthly exemption reports for overseas purchases, ensuring proper documentation in Malay language for customs clearance.
Coordinate with store and warehouse teams to ensure timely deliveries and proper documentation of received goods.
Request and verify shipping documents (commercial invoices, packing lists, bills of lading) from suppliers as required.
Analyze and compare shipping costs for optimal procurement decisions, submitting recommendations for Director approval when required.
Maintain accurate records of all procurement transactions and documentation for audit purposes.
Ensure compliance with company policies and procedures throughout all purchasing activities.
Education: Minimum Diploma/Degree in Accounting, Finance, or Cost Accounting (Fresh graduate encourage to apply)
Experience: Fresh or at least two years of relevant experience, preferably within the manufacturing industry.
Technical Skills: Proficient in Microsoft Excel, Dynamic and SAP systems knowledge is a plus.
Work Ethic: Committed, self‑motivated, and able to work effectively under pressure with minimal supervision.
Communication: Strong command of English, both written and verbal.
Product Costing Knowledge: Demonstrated expertise in product costing methodologies.
Adaptability: Quick learner who can adapt to new processes and systems.
