Qualifications

  • Proficient in Microsoft Excel and MS Office tools (Pivot Table, VLOOKUP, data visualization).
  • Familiarity with ERP systems; SAP experience is a strong plus.
  • Strong analytical, coordination, and communication skills.
  • Detail-oriented, with the ability to multitask and meet deadlines in a fast-paced environment.

Responsibilities

  • Support Program Managers in tracking project timelines, deliverables, and milestones.
  • Coordinate with internal departments to ensure timely and accurate project execution.
  • Prepare and update regular project status reports and track KPIs.
  • Maintain and update cost models for pricing accuracy within the ERP.
  • Analyze cost variances and support cost reduction initiatives.

Job Summary

We are seeking a detail-oriented and proactive Program Management Administrator to support our Program Management team in coordinating projects, managing data, and ensuring smooth execution across departments. The ideal candidate is analytical, highly organized, and proficient in Microsoft Excel and ERP systems (SAP experience is a strong advantage).

Key Responsibilities

🔹 Project Management

  • Support Program Managers in tracking project timelines, deliverables, and milestones.
  • Coordinate with internal departments (Engineering, Production, Purchasing, Quality, and Finance) to ensure timely and accurate project execution.
  • Prepare and update regular project status reports, tracking key performance indicators (KPIs) and follow up on open issues.

🔹 Costing & Quotation Support

  • Maintain and update cost models to ensure pricing accuracy within the ERP or quotation database.
  • Analyze cost variances and support cost-reduction or efficiency improvement initiatives.
  • Track material and process cost updates to support management decision-making.

🔹 Data Management & Reporting

  • Prepare dashboards, summaries, and reports related to project progress, costing trends, and profitability performance.
  • Consolidate data from multiple departments to ensure accuracy and completeness of project documentation.

🔹 Process Improvement

  • Participate in internal audits, data validation exercises, and continuous improvement activities related to project management and cost control.
  • Assist in developing standardized procedures and templates for program tracking and reporting.
