A construction management company in Malaysia is seeking a project administrator to prepare progress reports, manage submissions, and maintain contract files. The ideal candidate has 1–3 years of experience in construction administration and is proficient in Microsoft Office. This role requires strong organizational skills and the ability to work independently. The position involves on-site work, requiring familiarity with construction environments.
Prepare and update Project Progress Reports, site diary, and project schedules (Excel/Project).
Handle submissions to consultants and authorities (permits, inspection requests, material approvals).
Maintain contract files, LOA/LOI, quotations, purchase orders, delivery orders, and invoicing records.
Assist the Project Manager in coordinating with contractors, consultants, suppliers, and site teams.
Prepare official letters, memos, meeting minutes, and ensure all documents are audit-ready.
Keep track of payments, progress claims, and variation orders.
Arrange meetings, prepare presentation materials, and follow up on outstanding tasks.
