Job Responsibilities
  1. Generic Accountability
    • Provide superior service in a professional, efficient and friendly manner
    • Maintain a high level of knowledge about the university’s products and services, and ensure students are provided with accurate information
    • Attend to student needs in an orderly manner to ensure a positive customer experience
  2. Specific Accountability

    Administer tasks as assigned by the Head of Faculty/Centre Operations which may include

    • Prepare special and recurring faculty/centre or programme‑specific reports by gathering data from various sources, compiling and formatting data
    • Maintain faculty/centre or programme‑specific records through retrieving, retaining, storing, compiling, coding, updating, and destroying files as appropriate.
    • Prepare for, and, in collaboration with colleagues concerned, ensure the smooth running of, examination boards, including agendas, minutes, marksheets and supporting documentation
    • Answer written, telephone, and in‑person inquiries regarding policies, regulations and procedures
    • Process all forms relating to changes in students’ circumstances/statuses
    • Advise current students on programme and pastoral issues and refer on as appropriate Act as a first point of contact for students and raise issues with the appropriate dean/director and/or head of programme
    • Identify complex problems of student progression, and seek advice on their resolution with dean/director or head of programme
    • Liaise and work in partnership with dean/director, head of programme and/or teaching staff to identify students who are at risk and, where necessary, assist in reviewing individual study plans and developing intervention action plans for students at risk
    • Arrange activities and meetings by scheduling classrooms, meeting rooms, issuing information and coordinating attendees
    • Act as secretary to one or more internal meetings, arranging dates, circulating papers and taking notes
    • Assist teaching staff and students on field trips, exhibitions and enrichment activities in support of the curriculum
    • Assist with marketing as and when required to promote increased applications and high retention rates
    • Help to develop and refine systems and processes to support the management of the faculty/centre
    • Undertake other duties, as directed by head of faculty/centre operations that are commensurate with the level of the post
