The Production Coordinator is responsible for overseeing the smooth operation of the production pipeline. This role requires excellent organizational skills and an understanding of the animation process. The Production Coordinator ensures that all aspects of production are running efficiently, task deadlines are met, and communication flows seamlessly between departments.

Responsibilities:
Scheduling & Tracking

Maintain and update production schedules, trackers, and task lists using project management tools (e.g., Shotgrid, Google Sheets).

Monitor deadlines, flag potential risks or delays, and elevate issues to the Producer or Assistant Producer.

Record and distribute meeting notes, ensuring all action items are tracked and followed up.

Resource & Workflow Support

Support day-to-day resource planning by updating team allocations and availability.

Coordinate between departments to ensure smooth handoffs and workflow continuity.

Assist with managing interns and provide administrative support for production logistics.

Communication

Serve as a point of contact for routine communication between internal teams and vendors.

Ensure updates are shared through established communication channels (email, WhatsApp).

Prepare and distribute reports or updates as directed by Producers or Assistant Producers.

Production Support

Assist in preparing delivery materials and ensure assets are properly named and organized according to pipeline standards.

Check files for accuracy and completeness before submission.

Provide support in gathering data for budgeting and progress reporting.

Requirements:

1-2 years’ experience in a production or coordination role, preferably in animation or related creative industries.

Basic understanding of CG animation pipelines and production processes.

Strong organizational and multitasking skills, with attention to detail.

Good written and verbal communication skills.

Proficiency with project management tools (e.g., Shotgrid, Google Sheets, Excel).

Ability to work under supervision, take initiative when needed, and manage deadlines effectively.

Positive attitude, adaptability, and willingness to grow into larger production responsibilities.
