A global healthcare company is seeking a Procurement Specialist who speaks Japanese to manage procurement activities in Malaysia. Responsibilities include validating purchase requisitions, managing purchase orders, and ensuring compliance with policies. You will be :
Execute the day-to-day activities according to the highest standards of financial control, compliance and best practice. Ensure quality and accurate delivery of services within agreed key performance indicators (KPIs) and as defined in the Service Level Agreement (SLA) and SOPs of the respective business sub‑process.
Follow the instructions of the Managers regarding daily work coordination.
Develop knowledge and capability to raise competence to expected levels and meet current and future business needs.
Contribute process and technical expertise to process improvement initiatives. Support on assigned projects or programs.
Key Accountabilities: Validate and process purchase requisitions to ensure completeness and compliance with Procurement Policy. Convert purchase requisitions/shopping carts to purchase orders. Handle purchase order amendment, closure, and cancellation. Manage and resolve internal and external queries. Participate in invoice reconciliation. Work closely with Accounts Payable to resolve any outstanding invoice discrepancies.
Execute and produce accurate and timely reports. Manage and execute quote collections and multiple source biddings when applicable. Review and update SOPs, DTP & LP promptly.
Ensure adherence to the Procurement Policy, directive, guidelines and local procurement SOPs.
Actively participate in new projects such as ASPIRE/MyBuy, attend related meetings, trainings, knowledge transfer, etc.
Degree or Diploma in Business Studies, Finance & Accounting/Commerce, Supply Chain or Procurement equivalent.
Good communication skill and able to communicate effectively in English and Japanese (N2 level).
3‑years experience in a centralized purchasing environment and supply chain with production planning background.
Experience of working in a shared service centre across a global / large organization will be an added advantage.
Good negotiation and analytical skills, resourceful in identifying new sources of items requested and results oriented.
