A veterinary medical centre is seeking a Personal Assistant to the MD. The role involves managing calendars, travel arrangements, and communication, while handling confidential matters with discretion. Candidates must have strong organizational skills and proficiency in Microsoft Office, with fluency in Mandarin preferred. This position offers a dynamic working environment and opportunities to support various operational initiatives.
Handle confidential and sensitive matters with discretion, sound judgment, and professionalism, especially those related to operational decisions and the company’s reputation;
Manage and coordinate calendars, meetings, travel arrangements, visitation schedules, and logistical requirements;
Prepare, track, and manage expense reports and documentation as required;
Maintain consistent and timely communication, including responsiveness to emails, calls, and messages outside standard office hours when necessary;
Represent the Executive and the organization in a professional manner when liaising with business partners, government bodies, clients, and industry associations;
Conduct research, compile reports, and analyze internal and external information to support operational and strategic decision-making;
Assist in operational matters requiring coordination across departments and follow-through on key action items;
Deliver or support staff development training in assigned areas such as Front Desk Operations, Customer Service, Communication Etiquette, Grooming and Professional Presentation, and Managing Customer Expectations;
Support company events, projects, and corporate initiatives when required.
Proven experience in a Personal Assistant, Executive Assistant, or similar high-level administrative role;
Strong organizational and time management skills with the ability to work in a fast-paced and dynamic environment;
Excellent written and verbal communication skills;
High level of initiative, accountability, and follow-through;
Proficiency in Microsoft Office Suite or equivalent productivity tools;
Ability to handle multitasking and prioritize tasks efficiently;
Proficiency in Mandarin (spoken and written) is preferred, due to frequent cross-department and cross-regional communication;
Good personal character, strong stress tolerance, and a service-oriented mindset—essential for handling confidential matters, cross-team coordination, and ad‑hoc assignments;
Must be able to speak and write fluently in English (additional languages are an advantage).
