A leading company in Malaysia is seeking a Personal Assistant to the Managing Director who is fluent in Japanese and English. Responsibilities include managing the director's schedule, preparing meeting agendas, drafting correspondence, and providing interpretation support. Ideal candidates will have 3-5 years of experience and a relevant degree. Strong organizational and communication skills are required. This role offers a dynamic work environment with exposure to Japanese management styles.
Manage the Managing Director’s daily schedule, appointments, and travel arrangements.
Prepare and organize meeting agendas, minutes, and follow-up on action items.
Draft, translate, and review correspondence, memos, and official documents in both Japanese and English.
Provide interpretation support during meetings and company discussions.
Assist in accounting-related tasks, including expense reports, invoice handling, and payment coordination.
Maintain proper document control and filing systems (physical and digital).
Act as a communication bridge between the Managing Director, employees, and external contacts.
Support administrative and HR functions as assigned.
Requirements
Diploma or Bachelor’s Degree in Business Administration, Accounting, or a related field.
3–5 years of working experience as a Personal Assistant, Executive Secretary, or similar role.
Fluent in Japanese and English (spoken and written) – proficiency test or equivalent certification will be an advantage.
Good understanding of basic accounting principles and Microsoft Office (Excel, Word, PowerPoint).
Excellent organizational, time management, and communication skills.
High level of integrity, confidentiality, and professionalism.
Strong sense of initiative, responsibility, and adaptability in a multicultural work environment.
