Qualifications

  • Minimum of 3 to 5 years of experience as a Personal/Secretary Assistant.
  • Experience supporting senior management is preferred.
  • High level of discretion and integrity in handling confidential information.

Responsibilities

  • Provide high-level administrative and executive support to the Deputy CEO.
  • Coordinate and prioritize incoming requests, emails, calls, and other communications.
  • Arrange and manage travel plans, accommodations, and itineraries.
  • Prepare and review documents, presentations, and reports.
  • Act as a liaison between the Deputy CEO and internal teams.

Job description
Responsibilities

Provide high-level administrative and executive support to the Deputy CEO, managing daily schedules, meetings, and correspondence.

Coordinate and prioritize incoming requests, emails, calls, and other communications on behalf of the Deputy CEO.

Arrange and manage travel plans, accommodations, and itineraries, ensuring smooth and efficient travel logistics.

Prepare and review documents, presentations, reports, and briefing materials for meetings and strategic discussions.

Act as a liaison between the Deputy CEO and internal teams, stakeholders, and external partners to ensure seamless communication.

Organize, schedule, and follow up on meetings, including board meetings, management discussions, and client appointments.

Conduct research and gather information for decision-making or reporting.

Handle confidential and sensitive information with discretion and professionalism.

Anticipate the Deputy CEO’s needs and proactively manage tasks to optimize time and productivity.

Support special projects, events, and initiatives as directed by the Deputy CEO.

Requirements

Candidate must possess a Bachelor Degree or equivalent in Business Administration, Management, or any related field.

Minimum of 3 to 5 years of experience as a Personal/Secretary Assistant, preferably supporting senior management.

Strong written and verbal communication skills in Bahasa Malaysia, English and Mandarin. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.

High level of discretion and integrity in handling confidential information.

Proactive, detail-oriented, and able to work independently in a fast-paced environment.
