Qualifications

  • More than 3 years of experience as a senior executive assistant or strategic support.
  • Fluency in English, Mandarin, and Malay (listening, speaking, reading, writing).
  • Valid driver’s license and proficient driving skills preferred.

Responsibilities

  • Plan the CEO’s daily work and personal itinerary.
  • Organize important meetings and take care of agenda and materials.
  • Participate in the formulation of the company’s strategic plan.
  • Act as the representative of the CEO in communications.
  • Draft and review important documents and maintain confidentiality.
  • Complete urgent tasks assigned by the CEO.

About the role

This is an exciting opportunity to join East Sea International Sdn. Bhd. as a Personal Assistant to the CEO. The Assistant is the core strategic support and overall affairs coordination partner of the CEO, coordinating daily affairs, integrating resources, promoting major projects, and strictly adhering to confidentiality principles to ensure efficient and orderly progress of the CEO's work and decision-making.

Core Job Responsibilities
  • Schedule and Affairs Coordination: Precisely plan the CEO’s daily work and personal itinerary, coordinate travel arrangements, anticipate itinerary risks, and handle documents, emails, calls, and visitor screening to ensure timely transmission of important information.
  • Meeting and Event Management: Take the lead in organizing important meetings such as board meetings and strategic seminars, responsible for agenda formulation, material preparation, minutes collation and distribution, and assist in business activities such as signing ceremonies and industry summits.
  • Strategic Support and Project Promotion: Participate in the formulation of company’s strategic plan, track progress, conduct research, data analysis, plan writing for major projects, and coordinate resources to promote project landing.
  • Internal and External Communication Coordination: Act as the representative of the CEO, connect with internal departments, external partners, government agencies, and coordinate cross‑departmental collaboration issues while maintaining relationships with core customers and partners.
  • Document Writing and Confidentiality Work: Assist in drafting and reviewing important documents such as speeches, work reports, and business letters, and standardize the management of confidential documents and sensitive information.
  • Ad‑hoc Task Handling: Efficiently complete temporary and urgent tasks assigned by the CEO, balancing the CEO’s work and life and synchronizing relevant needs to corresponding counterparts.
What we’re looking for
  • Basic Qualifications: Bachelor’s degree or above, preferably in economics, management, law or related majors; more than 3 years of experience as a senior executive assistant, strategic support or high‑end business services.
  • Core Competencies: Excellent written and verbal communication skills, flexible and efficient coordination ability, clear logical thinking, good at prioritization and multi‑tasking, proactively anticipate needs and provide solutions, strong pressure resistance, calm response to emergencies and outstanding problem‑solving ability.
  • Professional Skills: Proficiency in Office software and cloud collaboration tools, excellent document writing and data analysis capabilities; fluent in English, Mandarin and Malay (listening, speaking, reading and writing) and capable of handling business communication and document processing; valid driver’s license and proficient driving skills preferred.
