About The Role
We are seeking a proactive and highly organised Personal Assistant in corporate communications to support the Managing Director in managing schedules, coordinating meetings, monitoring projects and deadlines, and liaising with internal and external stakeholders. This role requires a confident communicator who is resourceful, adaptable and able to take initiative in handling various corporate and business-related matters.
Key Responsibilities
- Keep track of and monitor the Managing Director’s daily appointments and upcoming programmes.
- Collect and review reports submitted by various departments to ensure accuracy and completeness.
- Assist the Managing Director in managing and reviewing files, workflows, projects and deadlines.
- Arrange and coordinate management and departmental meetings, including the necessary follow-up actions.
- Liaise and coordinate communications with Royal Family members, State Government, Federal Government, Government-Linked Companies (GLCs), Board members, business partners and other relevant stakeholders.
- Liaise and coordinate communications with overseas clients.
- Represent the Managing Director or the Company at meetings, events and official functions when required, ensuring smooth coordination and follow-up.
- Support the maintenance and enhancement of the Company's corporate image, including matters relating to the company profile and website.
- Coordinate business-related arrangements for clients and stakeholders, including accommodation, transportation, restaurant reservations and other logistical requirements when necessary.
- Travel for outstation or overseas assignments as required.
- Assist with ad hoc assignments, committees and other corporate matters when required.
What We're Looking For
- Bachelor's Degree in Business Administration, Corporate Communications, Management, Public Relations or other relevant disciplines.
- Experience in supporting senior management or working in a fast-paced and diverse business environment will be advantageous.
- Excellent interpersonal and communication skills, with the confidence to engage with stakeholders at different levels.
- Outgoing, presentable and comfortable interacting with clients, business partners, government representatives and other external stakeholders.
- Highly organised with strong coordination and time-management skills, with the ability to manage multiple tasks, priorities and deadlines.
- Able to think beyond instructions, identify potential issues and propose practical solutions when required.
- Open-minded, adaptable and able to quickly understand different business operations and requirements.
- Comfortable representing the Managing Director or the Company at meetings, events or official functions when required.
- Able to communicate and coordinate effectively with stakeholders based in China and Taiwan, including in their local languages where required.
- Willing and able to travel for business purposes when required.
