We are seeking a highly organised, dependable, and discreet Personal Assistant to provide direct support to the Managing Partner of YH Tan & Associates PLT. This is a trusted, hands‑on role requiring a high level of professionalism, judgment, and confidentiality. The successful candidate will work closely with senior leadership and play a key role in ensuring both business and administrative matters are managed efficiently and seamlessly.

Key Responsibilities

Providing end‑to‑end personal and executive support to the Managing Partner

Managing complex calendars, scheduling meetings, and coordinating travel and appointments

Preparing meeting agendas, recording minutes, tracking action items, and ensuring timely follow‑ups

Handling confidential correspondence, including drafting emails, letters, and professional communications

Liaising with internal teams, clients, regulators, and external stakeholders in a professional and tactful manner

Providing general administrative support, including filing, data entry, document control, and record management

Assisting with special projects, ad‑hoc assignments, and occasional external coordination or errands as required

Anticipating needs, prioritising tasks, and proactively resolving administrative or logistical issues

Requirements

To be successful in this role, you should have:

A minimum of 3 years’ experience as a Personal Assistant or Executive Assistant, preferably in a professional services environment

Excellent written and verbal communication skills, with confidence in engaging stakeholders at all levels

Strong organisational and time‑management skills, with the ability to handle multiple priorities independently

Proficiency in Microsoft Office (Word, Excel, PowerPoint)

A high level of discretion, integrity, and professionalism, with proven ability to handle sensitive and confidential matters

Sound judgement, reliability, and a strong sense of responsibility

A proactive, solutions‑oriented mindset with flexibility to support both structured and ad‑hoc requirements
