About the role We are looking for a highly organised, proactive, and dependable Personal Assistant to support the Managing Director of our advertising and branding company. The ideal candidate is meticulous, possesses strong common sense and sound judgement, and is able to work efficiently in a fast-paced, creative environment. This role requires someone with a pleasant personality, strong communication skills, and the ability to collaborate smoothly with internal teams.

Key Responsibilities

Manage the Managing Director’s daily schedule including meetings, appointments, and personal matters, ensuring smooth time management and timely follow-through.

Organise and coordinate meetings—prepare agendas, schedule attendees, circulate materials, and ensure all logistics are well arranged.

Attend internal and external meetings with the Managing Director and accurately capture and prepare meeting minutes.

Handle e-filing and document management, ensuring all files are clearly labelled, systematically archived, and easily retrievable.

Communicate and relay the Managing Director’s instructions to internal teams clearly, accurately, and in a timely manner.

Follow up on tasks and deadlines, ensuring instructions are executed effectively and completed on time.

Assist with both office-related and personal administrative matters as required.

Maintain confidentiality and handle sensitive information with professionalism and discretion.

Support overall team coordination, acting as a bridge between the Managing Director and various departments.

Requirements

Strong judgement, logical thinking, and a high level of common sense.

Pleasant personality with the ability to work harmoniously with different teams and individuals.

Proficiency in Chinese (Mandarin or Cantonese) is an added advantage.

Professionalism, discretion, and trustworthiness when handling confidential matters.

Prior experience as a Personal Assistant or administrative support role is preferred.
