Responsibility
1. Administrative & Diary Management
- Scheduling & Calendar Control – booking meetings, calls, and presentations, ensuring the MD’s day flows efficiently without clashes.
- Travel Arrangements – flights, accommodation, visas, and itineraries (sometimes last minute).
- Meeting Prep – preparing agendas, briefing notes, and ensuring the MD has all necessary documents or design portfolios before client meetings.
2. Communication & Coordination
- Email & Call Handling – screening and prioritising messages, drafting replies, and following up on outstanding matters.
- Internal Liaison – coordinating with senior designers, project managers, and other departments to relay instructions or updates from the MD.
- Client Interaction – sometimes representing the MD in early correspondence with clients or suppliers.
3. Project & Design-Related Support
- Document Handling – formatting proposals, pitch decks, and design presentations.
- Resource Coordination – sourcing images, samples, or research material for projects.
- Tracking Deadlines – keeping tabs on project timelines and alerting the MD to urgent deliverables.
4. Personal & Ad-hoc Tasks
- Errands – personal bookings, reservations, and small personal admin for the MD.
- Event Support – assisting with exhibitions, design launches, or client hospitality events.
- Miscellaneous Requests – anything from couriering models to picking up materials from a supplier.
