Job summary

A prominent HR firm in Miri, Malaysia, is seeking an HR Administrator to handle day-to-day HR tasks, including recruitment processes, payroll management, and compliance with labor laws. This role requires strong organizational skills and a collaborative approach to HR management. Candidates should have experience in HR administration and be able to conduct training for new joiners. Job description
General HR Administration
  • Process day-to-day People & Culture administration in an accurate and timely manner
  • Correspondences eg Letter of appointment (LOA), Heartist transfer / movement, resignation, promotion etc. as well as updating HR Management System
  • Create and update employee data record in system eg tracking of medical benefits, issuance of locker keys, uniforms
  • Organize and execute employees’ social, athletic and recreational activities eg townhall, annual dinners, CSR projects, etc.
  • Update and track annual and probation period appraisals of all employees
  • Work permit applications and follow‑ups
  • Assist colleagues with all HR related queries and questions
  • Maintain a good working relation with all departments and all professional external contacts
Recruitment
  • Coordinate with the hiring managers on the recruitment of employees based on approval by the divisional head and General Manager, following established standards, policies and procedures
  • Conduct interviews, screen resumes, and evaluate candidates to identify the best fit for available positions
  • Prepare and issue contracts to all new employees
  • Conduct and ensure a smooth onboarding experience for all new hires
  • Produce monthly reports of annual leave balances for HOD
Learning & Development
  • Conduct orientation and relevant training for new joiners on a monthly basis
  • Coordinate with HODs updating of quarterly and yearly training calendar of the hotel
  • Track and produce monthly reports for HOD on training plans vs execution
  • Provide monthly update of training hours attendance reports
  • Track to update usage of training portals by producing monthly reports e.g. Atiom, DTS (Learning Management System)
  • Retrieve and update HOD on HRDC funds balances / usage
Employees Welfare
  • Hostel visits and checks and produce inspection report of every visit
Payroll Management
  • Prepare payment of casual workers (every Thursday) and coordinate with Finance team
Compliance and Legal Issues
  • Ensure compliance with labor laws, regulations, and industry standards related to employment practices
