A leading HR services company located in Kuala Lumpur is seeking a Payroll Executive/Senior Human Resource specialist to manage employee payroll and oversee recruitment processes. The ideal candidate will have a diploma or degree in Human Resources, 3-5 years of payroll experience, and be proficient in Mandarin, English, and Bahasa Melayu. Manage the full monthly payroll cycle for all employees in accordance with company policies and statutory requirements.
Verify and process salary, allowances, claims, overtime, unpaid leave, shift allowances, and other payroll components.
Ensure accurate calculation and payout of bonuses, commissions, and incentives based on approved structures.
Prepare and generate payslips, payroll summaries, and required payroll reports for management.
Manage and validate monthly attendance records.
Maintain and update the time attendance system (e.g., leave, clock‑in/out).
Compute performance‑related payments in accordance with appraisal results and commission schemes.
Ensure accurate contributions for EPF, SOCSO, EIS, HRDF, PCB, and other statutory deductions.
Prepare monthly statutory submissions and ensure timely payment.
Stay updated with changes in statutory regulations, tax guidelines, and labour laws.
Perform payroll reconciliation to ensure correctness before approvals.
Maintain proper payroll documentation for audit purposes.
Support internal and external audits by preparing required payroll data.
Diploma or Degree in Human Resources, Business Administration, Psychology, Accounting, Finance or related field.
Minimum 3‑5 years of hands‑on payroll experience.
Strong understanding of payroll processes, tax computation, bonuses, and commission structures.
Familiar with Malaysia statutory requirements (EPF, SOCSO, EIS, HRDF, PCB).
Proficient with payroll systems and MS Excel.
Proficiency in Mandarin, English, and Bahasa Melayu is required for work‑related communication.
Lead the full recruitment cycle including job posting, sourcing, screening, interviewing, selection, and onboarding.
Work closely with hiring managers to understand manpower needs and develop recruitment strategies.
Maintain and update the manpower planning, talent pipeline, and recruitment tracking.
Enhance employer branding and explore new talent sourcing channels.
Serve as the first point of contact for employee relations issues and provide guidance based on company policy and labour law.
Manage employee disciplinary issues.
Administer and monitor Performance Improvement Plans (PIP), including setting measurable KPIs, follow‑ups, and documentation.
Handle grievance cases professionally to ensure fair and consistent HR practices.
Conduct regular HR audits to ensure accuracy and compliance in areas such as personnel files, leave records, payroll inputs, attendance, and statutory contributions.
Perform administrative audits covering facilities, office administration processes, asset records, and compliance with internal SOPs.
Identify gaps, propose corrective actions, and follow up on implementation.
Review and update HR policies, SOPs, and workflows to ensure alignment with labour regulations and company standards.
Bachelor’s degree in Human Resource Management, Business Administration, Psychology or related field.
Minimum 3–5 years of HR experience, with strong exposure in recruitment and disciplinary management.
Good understanding of Malaysia labour law, employment regulations, and HR best practices.
Strong interpersonal and communication skills with the ability to deal with employees at all levels.
Meticulous, organized, and able to conduct audits with high attention to detail.
Ability to work independently, take initiative, and manage multiple tasks under deadlines.
Proficiency in Mandarin, English, and Bahasa Melayu is required for work‑related communication.
