A leading construction company in Malaysia is seeking an experienced Personal Assistant to support the Deputy COO. The role involves managing schedules, preparing documents, and acting as a primary liaison with external parties. Assist and attend meeting with the Deputy COO, coordinating meetings, preparing essential documents, take accurate minutes, and aid in the preparation of materials. Ensure timely follow-ups on action items for seamless business operations.
Act as the primary liaison with external parties, including bankers, financial advisors, agents, investors, and regulatory bodies, to facilitate effective communication and relationship management.
Efficiently manage the Deputy COO's calendar, appointments, and travel arrangements to optimize time management.
Prepare and edit correspondence, reports, presentations, and other documents.
Assist in preparing for company events and functions, ensuring meticulous documentation and logistics management.
Handle incoming and outgoing communications of the Deputy COO, manage and maintain document records, filing systems both physical and electronic formats, and ensure smooth information flow within the organization.
Provide technical support for IT tools and software to ensure the Deputy COO's electronic devices and systems function seamlessly.
Perform general office tasks (Deputy COO's Office) such as data entry, filing, and office supply management.
Proven experience as a Personal Assistant, preferably supporting high-level executives in business-related tasks.
Strong organizational and time-management skills with a focus on optimizing business operations.
Excellent communication and interpersonal skills for effective liaison with external parties, internal staff, and the Board of Directors.
Proficiency in office software and IT tools for documentation, communication, and technical support.
Discretion and confidentiality in handling sensitive information.
Ability to work independently, take initiative, and anticipate business-related needs.
Flexibility to adapt to changing priorities in a dynamic business environment.
