Job description
ROLE PURPOSE

The Operations Supervisor of COIN is responsible to plan, execute and coordinate the day-to-day activities of the Operations Control Room (OCR), inventory management, and mutilated coin operations. The role also responsible to ensure optimal efficiency and excellent service delivery and to maintain strict compliance with established Standard Operating Procedures (SOPs), policies, and guidelines to support Malaysia Mint (MyMint) strategic and operational goals.

PRINCIPAL ACCOUNTABILITIES
  1. Control Room Operations: To ensure the smooth operation of Material Handling Equipment (MHE) such as AGVs, robotic arms, conveyors, cranes, and shutter doors, monitor and verify any flagged or quarantined hoppers, pallets, and movement going in and out of the Automated Storage and Retrieval System (ASRS). Perform troubleshooting on the Warehouse Management System (WMS) and promptly recover and elevate first level failures or error messages to the relevant section or vendor for timely rectification. Facilitate any internal or external audits or quality inspections in accordance with the established procedures and guidelines.
  2. Loading Bay Operations: To coordinate the daily activities of the loading bay, manage incoming and outgoing consignments using the Warehouse Management System (WMS) while ensuring compliance with established guidelines. Update the Advanced Currency Enterprise System (ACES) to facilitate smooth operations and minimize disruptions.
  3. Reports and Escalation: To perform daily reconciliation of stock positions between the Warehouse Management System (WMS) and the Advanced Currency Enterprise System (ACES), promptly investigate and elevate any identified discrepancies. Review Cash-In-Transit (CIT) reports for accuracy and take proactive measures to address potential security breaches or suspicious activities.
  4. Inventory Management: To ensure smooth and efficient operations, handle the distribution and monitoring of consumable items while managing stock levels and procurement. Collaborate with other units for stock replenishment and update stock movement to ensure continuous availability, timely procurement, and payment processing. Maintain compliance with policies and guidelines by providing accurate stock records and minimizing discrepancies.
  5. Mutilated Coins Operations: To conduct assessments of mutilated coins, adhere to the established guidelines and procedures. Manage and verify all approval requests received through the system before processing them. Oversee all processes to ensure compliance with standard operating procedures (SOPs) and completion within the designated timeframe to avoid complaints from coin agents and financial institutions. Ensure there are no backlogs and handle all surrendered items without discrepancies.
  6. Other Tasks: To ensure smooth operations, update and maintain accurate Section Manuals, Procedures, and Policies by identifying gaps and suggesting improvements. Monitor and review budgets to ensure adequate funding for activities and prevent shortages. Contribute to operational excellence by enhancing efficiency, safety, and compliance with OSHA regulations and best practices. Undertake additional duties as assigned by the Supervisor and/or Manager to ensure seamless operations and maintain a responsive and adaptable work approach. Perform other tasks assigned by Supervisor.
