Job summary

A leading construction and engineering company in Malaysia is seeking a detail-oriented administrative support candidate. The role involves assisting daily operations, document preparation, financial reconciliations, and compliance with quality and safety protocols. Ideal candidates should have at least 3 years of experience in administrative and accounting tasks, with a strong proficiency in Microsoft software. Fresh graduates are also encouraged to apply.

Responsibilities

  • Assist department & managers in day-to-day operations.
  • Prepare documents, reports, and presentations as per SOP.
  • Archive and control Finance documents for audits.
  • Schedule and organize meetings for Finance department.
  • Assist in accounting data processing and verification.
  • Support monthly financial closing and analysis.
  • Liaise with staff on required information/documents.
  • Reconcile inter-company/project balances.
  • Check and issue financial documents like invoices and notes.
  • Comply with Quality, Safety & Health regulations.

Job Summary

Job Description: Short Description

  1. Responsible for departmental administrative work.
  2. Responsible for scanning, filing and housekeeping of documentation and records.
  3. Processing, check and verification of accounting transactions.
  4. Assists in the accounting function i.e. preparation of monthly management account, data analysis and accounts payable.
Key Responsibilities / Duties
  1. To assist the department & managers in day-to-day operation & administrative work include but not limited to general photocopying and document scanning.
  2. To prepare PRF, memos, letters, documents, minutes of meeting, presentation materials and reports in accordance to SOP.
  3. To archive, store and control Finance documents and records for audits and Finance references.
  4. To schedule and organize meeting with internal & external parties for Finance department.
  5. To assist daily operations of accounting data processing, check and verification.
  6. To assist monthly closing of financial accounts and analysis.
  7. Liaising with staff from project sites, other departments or interrelated companies on any information/ documents required and reconciliation.
  8. Reconcile inter-company/project balances and creditors reconciliation.
  9. Checking and/or issuance of debit notes, credit notes, inter project memos, payment vouchers, journal vouchers, sales invoices, etc.
  10. Any other duties that may be assigned from time to time by the management.
  11. To comply and adhere to all matters pertaining to Quality, Safety & Health and Environment related to the job scope and workplace as required by the company.
Qualifications
  • Fresh graduate or Diploma holder with min 3 years working experience or equivalents.
  • SPM school leavers with min 5 years working experience and able to handle full set of account is encouraged to apply.
