Job summary

A management consultancy and service provider in Kuala Lumpur is looking for a candidate to manage purchasing requests, coordinate office access and maintenance, and handle administrative tasks. The ideal applicant should be aged between 21 and 30 and possess excellent stakeholder liaison and office management skills. This role involves ensuring timely delivery of services and liaising with contractors. The candidate will also manage onboarding preparations and the resignation process.

Job description
Purchasing & Procurement
  • Manage raising of purchase requisition and purchase order.
  • Liaise with stakeholders for purchases (purchaser, service providers, etc.).
  • Follow up for delivery, acceptance and liaise for GRN (system record).
  • Ensure pantry items are topped up timely.
Office Access
  • Application with building management, follow up invoices, obtain payment evidence, submit into building portal as admin of the unit and update changes via portal.
  • Manage access of employees (onboarding and offboarding).
  • Manage access of contractors (e.g., cleaner).
  • Manage access of visitors.
Office Maintenance
  • Ensure unit is cleaned, schedule cleaning.
  • Coordinate with building management.
  • Submission of contractor entry permits, access and handover.
  • Handle complaints or feedback (common area, repairs).
  • Liaise with contractors and ST for repair works on lighting, aircon and other infrastructure.
  • Other administrative duties: office movement, letter or documentation preparation.
On Boarding Preparation
  • System access application.
  • Email account setup.
  • Laptop installation request.
  • Remote access application and internet access application.
  • Accommodation and transportation arrangements.
Resignation Process
  • Laptop collection and safekeeping for handover to team leader.
  • Badge/key retention.
  • Deregistration process with building management.
  • Raise request via DHL portal for documents.
  • Follow up for pick up.
Visitor Arrangement
  • Hotel.
  • Transportation.
  • Other liaison tasks.
Authority Licensing
  • Coordination of authority licensing application and renewal.
Company Email Management
  • Generic company email management.
