The Opportunity

We are looking for a KL Project Manager to lead the physical and operational setup of our new Kuala Lumpur office. This is a 3-6 month project-based role focused on the initial setup phase of our Kuala Lumpur operations. This is a build-from-scratch role. You will coordinate the fit‑out, work with contractors and suppliers, support hiring and onboarding, and be the go‑to person on the ground during the setup phase. You will report to the Chief of Staff (based in Brisbane) and work day-to-day with the KL VP.

What You Will Do
  • Coordinate the full office setup: fit‑out, contractors, furniture, IT, signage, and move‑in.
  • Manage timelines, quotes, and on‑site work so the space is ready on schedule.
  • Schedule and support interviews and onboarding for the first wave of KL hires.
  • Track progress against the KL setup plan and elevate delays early.
  • Keep Monday.com updated with tasks, owners, dates, and status.
  • Organise local logistics such as sample storage, product assembly areas, and basic warehouse‑style space where needed.
  • Act as the local point‑of‑contact for Brisbane leadership and the KL VP, providing clear, regular updates.
Non‑Negotiables (Must Haves)
  • Experience in operations, project coordination, facilities, or office setup.
  • Minimum 3‑5 years of experience in operations, project coordination, facilities, or office setup.
  • Strong organisational skills and attention to detail.
  • Comfortable managing vendors, contractors, and multiple moving parts at once.
  • Fast executor who can work to an aggressive timeline without dropping key details.
  • Confident communicator who can keep senior leaders informed and make clear recommendations.
  • Office based in Kuala Lumpur, Monday to Friday, with flexibility around key fit‑out milestones.
  • Malaysian citizenship required for this Kuala Lumpur‑based position.
