We’re looking for a detail-oriented and proactive HR & Admin Executive to join our Shared Services team. This position plays a critical role in supporting Human Resources and Administrative operations, ensuring efficient processes and an exceptional employee experience.

What You’ll Do
👥 Human Resources (50%)
- Coordinate employee engagement activities with the PEC Committee and manage logistics for on-site and regional events.
- Drive awareness and participation in the Employee Assistance Program (EAP) and wellbeing initiatives.
- Maintain accurate and up-to-date employee information in Workday and HR records.
- Support end-to-end recruitment administration, including job postings, interview coordination, and onboarding activities.
- Organise monthly “Lunch and Learn” sessions and manage HRDF grant claims for training and team development programs.
- Maintain and update the VCSS Community SharePoint site and monthly internal communications.
- Liaise with statutory bodies to ensure full compliance with Malaysian labour laws and HR reporting requirements.
🏢 Administration (50%)
- Oversee daily office administration, including travel arrangements, meeting coordination, supplies management, and vendor engagement.
- Manage attendance and conduct quarterly “Report to Office” compliance audits.
- Handle incoming and outgoing mail, courier services, and external calls with professionalism.
- Coordinate with building management on access cards, maintenance, parking, and vendor work permits.
- Liaise with government agencies on administrative licensing, permits, and compliance documentation.
What You Bring
- Diploma or Degree in Human Resources, Business Administration, or a related field.
- 3–4 years of experience in HR and administrative support, ideally within a corporate or shared services environment.
- Strong organisational and multitasking skills, with a high attention to detail.
- Proficient in Microsoft Office and SharePoint; experience with Workday or ADP is an advantage.
- Excellent communication and interpersonal skills, with the ability to work independently and cross-functionally.
