Job description

We are looking for a Human Resource Administrator to join us as a foundational member of our growing startup. This is more than a support role — it’s an opportunity to help shape the people system behind an AI-driven enterprise revolution.

As SuDu AI builds fully autonomous ERP and MES systems for manufacturing and operations, our people remain at the heart of everything. You will play a key role in managing HR operations, supporting employee experience, and ensuring smooth day-to-day HR administration as we scale.

You will work closely with founders, team leads, and employees to build structured yet human-centric HR processes — from recruitment and onboarding to performance tracking and staff welfare. Your contribution will directly impact our culture, internal efficiency, and long-term team stability.

Responsibilities
HR Operations & Administration
  • Manage and maintain complete employee records including contracts, personal files, compensation details, and statutory documentation with strict confidentiality
  • Oversee monthly payroll coordination and ensure accurate processing of EPF, SOCSO, EIS, PCB and other statutory submissions
  • Monitor and manage leave administration, attendance tracking, overtime records, and staff benefits
  • Ensure accuracy of HR data and maintain updated records in HR systems and internal databases
  • Prepare HR letters including offer letters, confirmation letters, warning letters, promotion letters, and resignation documentation
Recruitment & Workforce Support
  • Support end-to-end recruitment process including job posting, candidate screening, interview scheduling, coordination with hiring managers, and feedback tracking
  • Ensure a smooth onboarding experience for new hires including documentation, induction, system access coordination, and orientation materials
  • Maintain recruitment pipeline and support workforce planning needs as the company grows
  • Coordinate probation review processes and assist in confirmation assessments
Employee Relations & Support
  • Act as the main point of contact for employee HR inquiries regarding policies, procedures, leave, benefits, and internal matters
  • Support conflict resolution, grievance handling, and disciplinary processes in a fair and structured manner
  • Assist in performance monitoring documentation, improvement plans, and HR advisory support for managers
  • Ensure consistent application of company policies across all departments
HR Policy & Compliance
  • Assist in developing, reviewing, and updating HR policies, SOPs, and employee handbook
  • Ensure compliance with Malaysian labour laws and internal governance standards
  • Support implementation of HR best practices and continuous process improvements
  • Monitor changes in labour regulations and recommend necessary adjustments
HR Systems & Process Optimization
  • Improve and streamline HR workflows through system automation and process standardisation
  • Support the implementation and optimisation of HR management systems (HRIS)
  • Generate HR reports and analytics such as attendance trends, turnover rate, and headcount reports
  • Ensure data accuracy for management reporting and decision-making
Training & Development Support
  • Assist in coordinating staff training programmes and learning initiatives
  • Track training participation, performance improvement plans, and skill development progress
  • Support leadership in preparing development plans for team members
Engagement & Culture Management
  • Coordinate internal engagement activities such as team events, internal communications, and employee recognition initiatives
  • Support initiatives to improve employee morale, wellbeing, and workplace harmony
  • Assist management in creating a positive, inclusive, and structured work environment
Offboarding & Exit Management
  • Manage employee exit processes including resignation documentation, clearance procedures, and exit interviews
  • Analyse exit feedback to identify improvement areas and retention strategies
  • Ensure proper handover and completion of all exit formalities
Requirements
  • Diploma or Degree in Human Resource Management, Business Administration, or related field
  • 1–3 years experience in HR administration or similar role (startup experience is a plus)
  • Good knowledge of Malaysian Employment Act and basic labour law
  • Experience handling payroll, leave systems, and statutory submissions
  • Strong organisational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage confidential information with integrity
  • Comfortable using HR systems, spreadsheets, and digital tools
  • Proactive, self-driven, and able to work independently in a fast-paced environment
Good to have
  • Experience in tech startups or SaaS companies
  • Familiarity with HRIS, accounting tools
  • Experience managing recruitment pipelines or employer branding
  • Knowledge of performance review systems or KPI tracking
