Job summary

A leading retail company in Kuala Lumpur is seeking an experienced HR Manager to lead recruitment, oversee HR operations, and manage employee relations and payroll. The ideal candidate will have a Bachelor's degree in human resources and at least 10 years of HR management experience, with a focus on retail operations. This role demands excellent problem-solving and communication skills in a fast-paced environment.

Job description
Talent Acquisition & Workforce Planning

Lead recruitment for key and senior roles, ensuring alignment with business needs.

Partner with leaders to forecast staffing requirements and support workforce planning.

Build and maintain talent pipelines for future growth and succession needs.

HR Operations & Performance Management

Oversee implementation of performance management systems and execute its process.

Oversee all HR operations across outlets, ensuring compliance with HR policies, procedures, and employment laws.

Guide managers in setting SMART goals and providing feedback.

Manage the employee lifecycle for outlet staff, including recruitment, onboarding, performance management, and offboarding.

Provide HR support to outlet managers to address day‑to‑day HR matters efficiently.

Ensure timely appraisals and development discussions.

Payroll Management

Supervise the end‑to‑end payroll process for all staff, ensuring timely and accurate salary disbursements.

Ensure compliance with statutory contributions (EPF, SOCSO, income tax, etc.).

Review and benchmark salary structures to remain competitive.

Address and resolve payroll issues or discrepancies in a timely manner.

Learning & Development

Develop training calendars and oversee execution of programs.

Support employee career development and succession planning.

Industrial Relations (IR) Management

Handle employee grievances, disciplinary actions, disputes and terminations, ensuring resolution in line with labor laws and company policies.

Manage and oversee any IR matters, including investigations, misconduct cases, and disputes with employees.

Represent the company in IR‑related negotiations, conciliations, or other legal proceedings.

Compliance & Employee Relations

Ensure outlet‑level HR activities comply with local labor laws, regulations, and company policies.

Foster positive/healthy employee relations, promoting a productive and engaged workforce between staff and across outlets.

Lead employee engagement and retention initiatives for all staff including outlet‑level employees.

HR Reporting & Analytics

Ensure HRIS and employee records are audit compliant.

Track and report key HR metrics: Generate dashboards and prepare HR reports for Management, analyze data on employee turnover rates, payroll costs, absenteeism, identify trends and area for improvements in the HR function to the management.

Provide insights and recommendations to improve HR operational efficiency at the outlet level.

Monitor key HR KPIs (e.g., turnover, absenteeism, time‑to‑hire) and implement proactive measures to address and prevent issues.

HR Budget Management

Consolidate the data on Employee related budget, Annual Operating Plan (AOP), Headcount cost and other HR expenses.

Oversee employee benefits programs (insurance, allowances, etc).

Job Requirements
  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • Minimum 10 years of HR management experience, with at least 3 years in HR operations within the Retail Industry.
  • Strong knowledge of payroll processes and local labor laws.
  • Proven experience in managing industrial relations and handling employee grievances.
  • Excellent problem‑solving, communication, and interpersonal skills.
  • Strong organizational and time‑management skills.
  • Ability to thrive in a fast‑paced environment and manage multiple tasks effectively.
