Job summary

Job description
Responsibilities
  • Assist in posting job openings and shortlisting candidates.
  • Coordinate interviews and communicate with candidates.
  • Support onboarding activities, induction sessions, and documentation.
  • Maintain employee records and HR databases accurately.
  • Prepare HR letters, contracts, and internal memos.
  • Assist with payroll documentation, leave records, and statutory compliance (EPF, SOCSO, PERKESO).
  • Support staff engagement initiatives, events, and communications.
  • Serve as a point of contact for routine employee inquiries.
  • Assist in organizing performance appraisals and feedback sessions.
  • Track training attendance and certification records.
  • Assist in planning and coordinating staff training programs.
  • Assist in implementing HR policies and procedures.
  • Ensure HR processes comply with statutory requirements.
  • Provide administrative and operational support to HR Manager.
  • Participate in HR projects, campaigns, or ad hoc tasks as required.
Required Qualifications
Education & Experience
  • Bachelor's degree in Human Resources, Psychology, Business Administration, or related field
  • Minimum 2-3 years of HR experience, preferably in NGO or non-profit sector
  • Experience in recruitment and learning & development functions
Technical Skills
  • Proficiency in HR Information Systems (HRIS) and applicant tracking systems
  • Strong knowledge of Malaysian employment laws and regulations
  • Experience with learning management systems (LMS)
  • Proficient in Microsoft Office Suite and Google Workspace
  • Social media and digital recruitment platform expertise
Language Requirements
  • Fluency in English and Bahasa Malaysia (written and spoken)
Preferred Qualifications
  • Professional HR certification (SHRM or Malaysian Institute of Human Resource Management) is advantage
  • Experience in NGO, social sector, or mission-driven organizations
  • Background in adult learning principles and instructional design
  • Project management certification or experience
