Job description

The HR Manager is a strategic, hands-on leader responsible for the full spectrum of Human Resources functions at Entopia. This role requires an experienced managerial and supervisory professional who will drive strategic HR planning, ensure meticulous compliance, foster a positive and productive work culture, and manage all employee lifecycle activities with a balance of firmness, fairness and friendliness. The Manager will be aligning people strategies with Entopia’s overall business goals.

Key Responsibilities

Develop and implement HR strategies, policies, and initiatives that directly support Entopia’s business objectives and growth plans.

Take accountability for the HR department's performance, manage HR budgets, and ensure adherence to best practices and regulatory compliance.

Lead, mentor, and supervise the HR team and administrative staff, fostering a culture of high performance, confidentiality, and exceptional service delivery.

Oversee the end-to-end recruitment process, including workforce planning, sourcing, interviewing, and onboarding, to attract and retain top talent.

Design and manage the performance appraisal system. Identify training needs, coordinate learning and development programs, and manage succession planning.

Manage the company's compensation structure, payroll processes, benefits administration, and incentive schemes, ensuring internal equity and market competitiveness.

Serve as a trusted advisor to management and employees on workplace issues, conflict resolution, and disciplinary actions.

Ensure the company's full compliance with all local labor laws, regulations (e.g., Employment Act), and statutory requirements. Maintain, update, and communicate all employee handbooks and HR policies.

Meticulously manage and document all disciplinary and grievance procedures fairly and consistently.

Prepare HR month‑end reports and year‑end budgets.

Build brand culture and drive initiatives to enhance employee engagement, satisfaction, morale, and organizational culture in alignment with Entopia’s values.

Lead the security team, including the security guards, to ensure the safety of the premises for staff and visitors. Oversee and ensure the continuous and effective provision of security services for the entire premises, including vendor selection, performance monitoring, contract renewal, and ensuring service level agreements (SLAs) are met.

Oversee the maintenance of confidential employee records, HR systems (HRIS), and HR data reporting.

Perform any other task as assigned from time to time.

Requirements

At least a bachelor degree in business management, human resource or a related field.

Minimum of 5-8 years of progressive HR experience, with at least 3 years explicitly in a managerial or supervisory role overseeing the full HR spectrum.

Proven track record in strategic HR planning and successful policy implementation.

Must be highly meticulous with an exceptional eye for detail in documentation and compliance.

Demonstrated ability to be firm, fair, and friendly—capable of enforcing policies while maintaining excellent employee rapport.

Uphold the highest standards of integrity, discretion, and confidentiality concerning all employee and company data.

Exceptional verbal and written communication skills in English.

Comprehensive and up-to-date knowledge of Malaysian labor laws and regulations.

Proficient in managing HR Information Systems (HRIS) and payroll processing.
